Client Services Coordinator

Job Description:

Seeking a professional Client Services Coordinator with legal experience to support a small but growing legal team in the practice areas of estate planning, probate and business representation. As the first point of contact for our clients and visitors, the candidate is a crucial part of creating a positive and professional impression of our business. Duties include administrative support, client engagement, document preparation and management, workflow management and calendar administration. The ideal candidate is self-motivated, works independently and collaborates well with others in this fast-paced small office team environment. A positive attitude with a client focused mentality, along with the desire to strive for excellence, is a must.

Primary Job Responsibilities:

· Manages the main phone line, directing calls as necessary

· Welcomes guests and maintain the lobby and conference room areas

· Schedules client appointments following the legal team's guidance

· Drafts routine correspondence, forms, under the supervision of attorneys and paralegals

· Drafts a broad range of documents such as client engagement letters, deeds, limited liability company (LLC) formation documents, probate court petitions, powers of attorney and health care directives

· Proofreads completed documents thoroughly to check for errors in grammar, spelling, punctuation and formatting

· Creates, formats, edits, and manages Word documents, Excel spreadsheets, and PowerPoint presentations

· Prepares documents for review, implementing revisions to drafts, identifying and tracking outstanding documents, preparing cases for write-up, and finalizing documents for client signing are among the key document management responsibilities

· Proactively establishes and maintains calendar and deadline reminder systems, ensuring that attorneys and paralegals are kept up to date and are appropriately reminded of all scheduling matters. Works to anticipate needs of assigned attorneys and paralegals

· Interfaces with clients to ensure all client needs and questions are responded to in a timely and comprehensive manner. This includes, but is not limited to, following up on proposals for new services, communicating meeting details, providing direction in preparation for meetings, administering drafts of legal documents, and drafting emails

· Works closely with the legal team on day-to-day activities, including general administrative support, as required by legal and business needs

· Supports basic accounting needs such as writing checks, tracking outstanding payments and processing credit card transactions

· Coordinates with IT offsite support as needed for office and team.

· Oversees inventory, including ordering and stocking office supplies and essentials.

· Manages incoming and outgoing mail and deliveries.

Qualifications:

· High School diploma or GED equivalent required

· An undergraduate degree in related field of study, or paralegal certificate is preferred

· Minimum of 2-year equivalent work experience, preferably in a legal office or customer service business

  • Extreme attention to detail and organization; able to focus on multiple tasks simultaneously
  • Strong time management and prioritizing skills with the ability to meet assigned project deadlines
  • Exhibits a “results oriented” approach to tasks, assignments and responsibilities
  • Excellent verbal and written communication skills
  • Excellent customer service skills
  • Business attire required

· Ability to handle multiple projects, prioritize effectively and be flexible

· Exceptional phone etiquette, poised and professional demeanor

· Ability to follow instructions with the desire to learn and be coached

· Proficient with Microsoft Office Suite, Adobe and Google Calendar

· Experience with Practice Panther, or similar client management system, is a plus.

Job Type: Full-time

Pay: $20.00 - $35.00 per hour
