Job Title: Female Clinic Administrator

Department: Operations / Administration

Reports To: Clinic Manager / Operations Manager

Location: Any company branch (based on business requirements)

Job Summary

The Clinic Administrator is responsible for the smooth day-to-day administrative and operational functioning of the clinic. This role ensures compliance with regulatory requirements, efficient coordination between departments, accurate documentation, patient satisfaction, and effective staff support.

Key ResponsibilitiesAdministrative & Operational Duties

  • Oversee daily clinic operations to ensure smooth workflow and service delivery
  • Maintain accurate patient records, consent forms, and documentation
  • Ensure proper appointment scheduling and coordination with reception staff
  • Monitor attendance, duty rosters, and staff schedules
  • Handle internal reports, documentation, and correspondence

Patient Coordination & Service Quality

  • Ensure a high standard of patient service and satisfaction
  • Address patient concerns, complaints, and escalations professionally
  • Monitor patient feedback, online reviews, and service quality indicators
  • Ensure patient privacy, confidentiality, and ethical practices

Compliance & Regulatory Responsibilities

  • Ensure clinic compliance with DHA / MOH / relevant regulatory authority guidelines
  • Maintain licenses, permits, and required documentation
  • Coordinate audits, inspections, and corrective actions
  • Ensure infection control, safety protocols, and internal policies are followed

Finance & Billing Support

  • Coordinate with reception and billing teams to ensure accurate invoicing
  • Monitor daily collections, discounts, and package sales
  • Support cash handling audits and billing error resolutions
  • Ensure documentation accuracy for incentive eligibility

Inventory & Stock Management

  • Monitor clinic stock levels and coordinate timely replenishment
  • Track consumables, medications, and devices usage
  • Report discrepancies, shortages, or expiries immediately

Staff Coordination & Performance

  • Support onboarding and training of new staff
  • Ensure staff adherence to company policies and SOPs
  • Assist management in performance monitoring and reporting
  • Coordinate internal communication between management and clinic staff

Branch Coordination (if applicable)

  • Support coordination between multiple clinic branches
  • Implement standard operating procedures across branches
  • Assist in cross-branch staff allocation when required

Required Qualifications & Skills

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field (preferred)
  • Minimum 2–4 years of experience in clinic or healthcare administration
  • Strong knowledge of medical clinic operations and healthcare regulations
  • Excellent organizational, communication, and leadership skills
  • Proficiency in clinic management software, EMR systems, and MS Office
  • Ability to handle confidential information with discretion

Job Types: Full-time, Permanent

Pay: AED4,000.00 - AED6,000.00 per month

Experience:
