Core Roles & Responsibilities
This position acts as the first point of contact and the operational leader of the front office, ensuring smooth client flow and efficient administration.
1. Client Experience & Front Office Management
- Clinic Flow Leadership: Proactively manage the reception area and waiting room, ensuring a professional and calming atmosphere for all clients.
- Client Communication: Handle all inbound/outbound calls, emails, and WhatsApp messages professionally. Resolve client queries, concerns, and scheduling conflicts with tact.
- Client Relations: Maintain strong relationships with long-term clients and ensure a five-star service standard is delivered consistently.
- Aesthetic Service Knowledge: Develop a strong understanding of our dermatology and aesthetic services to answer initial client questions and effectively cross-sell/upsell services and products.
2. Administrative & Operational Duties
- Appointment System Management: Expertly book, confirm, cancel, and reschedule appointments using our Clinic ERP software. Optimize the daily schedule to maximize clinic efficiency and minimize client wait times.
- Billing & Finance: Oversee daily billing procedures, process payments (cash, card, UPI), manage petty cash, and prepare daily sales and expense reconciliation reports.
- Inventory Tracking: Assist in monitoring and tracking clinic supplies and retail product inventory levels.
- Record Keeping: Maintain meticulous patient records, ensuring compliance with clinic privacy and data standards. Keep accurate records of all daily expenses.
3. Team Support & Training
- Onboarding: Assist in training new front desk staff (if applicable) on clinic protocols, ERP usage, and customer service standards.
- Inter-Departmental Coordination: Serve as the key communication link between clients, doctors (Dermatologists), and clinical support staff.
Candidate Requirements:
- Managerial Experience (MUST HAVE): Minimum 3 years of experience in a leadership or managerial role, specifically within an Aesthetic Clinic, Dermatology Center, or High-End Salon/Spa.
- Education: Minimum Higher Secondary (12th Pass); a Bachelor’s degree is preferred.
- Soft Skills: Strong leadership, decision-making, and problem-solving abilities.
- Language: Fluency in English and either Hindi or Marathi is required.
Working Hours and Schedule:
- Full-time position
- 9 hours day shift
- One weekly off (on a weekday only as weekends are working)
