Role Summary
The Clinic Coordinator is responsible for managing day-to-day clinic operations for the General Surgeon, ensuring smooth patient flow, accurate OPD collections, proper coordination between clinical and non-clinical teams, and compliance with organisational SOPs.
Key Responsibilities
1. OPD & Patient Management
- Coordinate patient appointments and manage daily OPD flow.
- Ensure 100% OPD fee collection as per company policy.
- Maintain accurate patient records and appointment details.
- Handle patient queries and provide clear information on consultation charges and processes.
2. Billing & Reconciliation
- Collect OPD fees through approved payment modes (cash/online).
- Perform daily/weekly reconciliation and submit reports as per SOP.
- Share OPD data with internal teams (Finance / PX / Category) within defined timelines.
- Ensure OPD collections are correctly reflected in systems and adjusted in AR, where applicable.
3. Doctor Coordination
- Coordinate with the General Surgeon regarding OPD schedules and patient flow.
- Ensure timely communication of OPD numbers, doctor sitting, and operational updates.
- Assist the doctor with administrative support during OPD hours.
4. Clinic Operations
- Ensure clinic infrastructure and equipment (OPD machine, headlight, drills, etc.) are functional.
- Coordinate with city/operations teams for maintenance and issue resolution.
- Ensure availability of required forms, scanners, and system access at the front desk.
5. SOP Compliance
- Follow and enforce OPD collection and reconciliation SOPs.
- Ensure clinic staff and front-desk personnel are trained on processes and app usage.
- Flag deviations or gaps to the City Manager / Operations Head immediately.
6. Reporting & Communication
- Share daily OPD reports with PX/MD teams as per defined timelines.
- Maintain WhatsApp/communication groups for smooth coordination with internal stakeholders.
- Escalate operational or financial issues promptly to avoid revenue leakage.
Key Skills & Competencies
- Strong coordination and communication skills.
- Basic knowledge of billing, OPD processes, and reconciliation.
- Proficiency in using mobile apps and basic MS Excel.
- Ability to handle patients professionally and empathetically.
- Attention to detail and process adherence.
Educational Qualification
- Graduate preferred (any discipline).
- Experience in healthcare/clinic operations is an added advantage.
Experience
6months –3 years of experience in clinic coordination, front desk operations, or hospital administration preferred.
