The Commercial Property Manager is responsible for the day-to-day operations and financial performance of a portfolio of commercial properties. This role oversees tenant relations, lease compliance, vendor coordination, maintenance operations, capital improvement projects, budgeting, and owner communication.
The Commercial Property Manager works closely with property owners, tenants, vendors, internal team members, and leasing professionals to ensure property goals related to occupancy, tenant satisfaction, compliance, maintenance, and financial performance are met or exceeded.

Oversee daily operations for a portfolio of commercial properties.
- Conduct Quarterly physical site inspections to ensure properties are well maintained and operating efficiently.
- Oversight of maintenance requests, vendors coordinate of repairs , and ensure timely resolution of maintenance issues.
- Respond promptly to emergency maintenance matters.
- Oversee unit turnover work to ensure spaces are completed in a timely and efficient manner.
- Oversight of in-house maintenance billing basis.

Tenant Relations and Lease Administration

Maintain strong tenant relationships through prompt, professional, and timely communication.
- Enforce lease terms and conditions, including rent payment obligations, insurance requirements, and other tenant responsibilities.
- Review, maintain, and update tenant records, correspondence, documentation, and files.
- Approve processed applications, lease agreements, deposits, and rent collections as applicable.
- Resolve tenant concerns and complaints in a professional and timely manner.
- Serve notices as needed to ensure compliance with rent, insurance, and lease requirements.
- Review lease renewal files and ensure renewals are completed within 60 days of expiration.
- Review Letters of Intent and provide feedback to property owners as needed.
- Communicate vacancies promptly to the Commercial Sales and Leasing Director for marketing.
- Maintain awareness of tenant mix to support compatibility and long-term property performance.
- Review Completed tenant financial reconciliations upon move-out.
Financial Management

Provide financial oversight for assigned properties, including tenant rent, NNN payments, expenses, and budget-to-actual performance.
- Review, code, and approve property invoices to ensure accuracy, prevent overcharges, and avoid missed billing cycles.
- Monitor fixed and variable expenses, identify budget overages, assess causes, and recommend adjustments as needed.
- Prepare annual property budgets, including capital improvement and major repair schedules.
- Review annual CAM reconciliations.
- Communicate property financial performance to owners on a regular basis.
- Support collection efforts when tenants fail to comply with lease payment obligations.
- Work with tenants to support timely rent payments and maintain a delinquency rate of 5% or less.
Capital Projects and Vendor Management

Plan, budget, coordinate, and oversee capital improvement projects from initiation through completion.
- Identify major repair needs and provide recommendations to property owners.
- Coordinate with vendors and service providers to ensure work is completed on time, within budget, and to required standards.
- Review vendor performance and ensure services align with property needs and owner expectations.
Compliance and Risk Management

Understand and ensure compliance with applicable local, regional, state, and federal regulations.
- Monitor tenant and owner insurance requirements to ensure coverage remains current and compliant.
- Ensure tenant insurance certificates do not lapse or expire.
- Maintain accurate property, tenant, vendor, and compliance documentation.
- Support lease compliance efforts through timely communication, documentation, and follow-up.
Time Management and Communication

Respond to Letters of Intent within one business day of receipt.
- Track critical dates, including lease expirations, insurance renewals, budget deadlines, CAM projection deadlines, and owner reporting requirements.
- Maintain clear and timely communication with property owners, tenants, vendors, leasing team members, and internal staff.
- Prioritize tasks effectively to support property operations, owner expectations, and tenant satisfaction.
