Title: Communications Coordinator (Non-Exempt)

Reports to: Marketing + Communications Manager

Position Description:

The Communications Coordinator reports to the Marketing + Communications Manager and provides operational and administrative support to the firm's marketing and communications function. Working closely with the Marketing + Communications Manager and the broader marketing and BD team, this role supports content production, digital presence, media tracking, and event logistics. This is an early-career role that offers broad exposure to legal marketing and communications, with strong potential for growth within the department.

Responsibilities:

  • Content and Editorial Support: Support the drafting, editing, and formatting of client alerts, press releases, social media posts, website updates, and internal announcements. Coordinate publishing workflows and help maintain the editorial calendar across the firm's communications channels.
  • Social Media Coordination: Assist with day-to-day management of the firm's LinkedIn presence and other professional channels, including scheduling content, monitoring engagement, and flagging performance trends for the Marketing + Communications Manager.
  • Website Maintenance: Maintain and update the firm's website content, including attorney bios, practice group pages, news items, and event listings. Coordinate with outside vendors on routine updates as needed.
  • Media Monitoring and Reporting: Track and compile media coverage of the firm, its attorneys, and key sectors. Prepare press monitoring reports and maintain the press clippings archive for the Communications team and firm leadership.
  • Awards and Rankings Tracking: Maintain the communications and BD teams' awards and editorial calendar, tracking submission deadlines, required materials, and follow-up items for the Marketing + Communications Manager and BD Manager.
  • Client List and Audience Support: Work collaboratively with the BD team to support maintenance of client and prospect lists used for communications outreach, event invitations, and client alerts. Assist with list updates, segmentation, and ensuring contact data is current and accurate.
  • Event Support: Assist with the planning and logistics of client-facing events, webinars, and sponsorships, including invitations, registrations, materials production, and on-site coordination.
  • AI-Assisted Content Production: Use AI tools to support content drafting, social media post creation, and standard collateral production, following team guidelines on appropriate and consistent use. Help maintain the team's prompt library and contribute to building repeatable AI-assisted workflows for routine production tasks.
  • Marketing Materials: Coordinate the production of print and digital marketing materials, including coordination with designers and outside vendors to meet deadlines and brand standards.
  • File and System Management: Maintain the team's shared drives, asset libraries, and filing systems. Keep templates, bios, and materials libraries organized and up to date.
  • Special Projects: Provide administrative and project support to the Marketing + Communications Manager and Director of Marketing + Communications as needed.

Knowledge, Skills and Abilities Required:

  • Bachelor's degree required, preferably in communications, marketing, journalism, or a related field; 0–2 years of experience in a marketing or communications environment, ideally in professional services or a related field.
  • Strong writing and editing skills, including a sharp eye for grammar, tone, and brand consistency.
  • Strong organizational skills and the ability to manage multiple deadlines simultaneously.
  • Proficiency in Windows and Microsoft Office Suite (Word, PowerPoint, Excel).
  • Experience with or interest in social media platforms, content management systems, or email marketing tools.
  • Ability to work with all levels of personnel in a professional and responsive manner.
  • A positive, team-oriented attitude and genuine curiosity about legal marketing and communications.
  • Ability to work independently as well as within a team with a strong work ethic.
  • Familiarity with AI tools (such as Claude, ChatGPT, or Copilot) for drafting and content support; willingness to learn and apply team AI workflows consistently.
