Scope and Responsibilities:
Based in India, the role requires a highly organized, detail-oriented and process-driven professional to provide support to the Luxembourg Legal team in connection with the approval of annual accounts for Luxembourg companies. This position involves close coordination with internal and external stakeholders and ownership of end-to-end documentation and process tracking.
Key responsibilities include:
  • Preparing and generating all documentation required for the approval of annual accounts (including board minutes, powers of attorney, and shareholder resolutions) using Oaktree’s IT solution;
  • Developing strong expertise in Docify and taking ownership of templates related to annual accounts, including maintaining and updating templates as required;
  • Liaising with internal managers and external directors to coordinate and schedule board meetings for the approval of annual accounts, and guiding managers through the accounts and proposed allocation of results;
  • Managing the collection of signatures on powers of attorney in advance of board meetings, as well as on board minutes following meeting completion;
  • Coordinating closely with the Finance team to ensure accurate allocation of results within legal documentation;
  • Liaising with external parties to obtain shareholder signatures on resolutions related to the approval of annual accounts;
  • Maintaining shared mailboxes and managing multiple trackers to ensure timely progress and accurate recordkeeping;
  • Monitoring progress and providing regular updates to various investment strategies and management through the preparation of reports;
  • Working closely with the Administrative Assistant to ensure the electronic filing and proper archiving of all documentation related to the approval of accounts;
  • Assisting with the filing of annual accounts on the Luxembourg Business and Commerce Register platform;
  • Assisting with additional legal or operational projects as required.
Experience required:
  • At least 4-5 years in a corporate secretarial/paralegal function (experience with Luxembourg corporate structure is a strong asset);
  • Experience in managing a large number of requests and demonstrating an exceptional focus on prioritizing tasks and meeting deadlines; and
  • Strong organizational skills and good knowledge of the Microsoft Office pack, Adobe, etc.

Education:
  • Qualified CS and bachelor’s degree.
  • Fluency in English; proficiency in French or German is considered an asset.
