Construction Administrative Assistant

Design Systems Builders (DSB), the self-performance, pre-engineered metal building division of T.W. Frierson, is seeking an Administrative Assistant to join our collaborative and innovative team. At DSB, we partner with General Contractors, Developers, and End Users to furnish and erect pre-engineered metal buildings and other related steel components.

Job Summary:

This position directly supports the Operations Manager in daily administrative and coordinating activities of pre-engineered metal building construction projects. This role involves a mix of project tracking, financial administration, and field support to ensure our team operates efficiently.


DutiesResponsibilities:

  • Maintain the Maintenance Matrix and Job Data spreadsheet.
  • Update and manage the DSB Running Job List for pre-qualifications.
  • Manage the Job Tracking Sheet and Frierson Project List.
  • Utilize CompanyCam for job creation and report generation.
  • Oversee assignment and tracking of Metal Building Institute (MBI) training courses for the team.
  • Perform budget entry and manage purchase orders.
  • Process subcontracts and track warranty work.
  • Monitor and follow up on aging "R" (repair) job invoices.
  • Track weekly and yearly hours for reporting purposes.
  • Order construction plans and material samples.
  • Keep the sample organizational area clean and professional.
  • Handle the badging process and photos for specific job site requirements.
  • Assist with repair job coordination and provide general support to the field crew as needed.
  • Attend and contribute to Weekly Update Meetings.
  • Assist field crews with any items needed.
  • Occasionally run errands for team.
  • Perform additional assignments at supervisor's direction.


Knowledge, ExperienceCompetencies:

  • Minimum of a high school diploma
  • Two years of general office experience (construction office experience a plus)
  • Good oral and written communication skills, with competencies in business writing, grammar and spelling
  • Excellent organizational, multi-tasking, and planning capabilities
  • Good interpersonal skills with customer-service orientation
  • Ability to perform basic mathematical calculations using a calculator
  • Ability to produce quality work in an efficient manner with little supervision in an ever-changing environment
  • Good computer skills including Microsoft Word, Excel, Outlook, and internet-based applications; prefer experience with Vista by Viewpoint construction software, Autodesk, AIA software, and Bluebeam
  • Ability to operate basic office equipment including computer, printer, copier, fax, and scanner
  • Ability to work Monday through Friday, at least eight hours per day, five days per week between the hours of 7:00 a.m. and 5:00 p.m.
