Administrative Support

  • Provides administrative and operational support, ensuring accurate scheduling, job closeouts, daily production tracking, and data management.
  • Works closely with construction leaders, Project Managers, and customers to verify job information, estimate completion details, and maintain accurate project documentation.
  • Plays a key role in data integrity across platforms to ensure timely and accurate job processing.


Core Responsibilities

  • Communicate daily with construction leaders and peers regarding job completions, production, and scheduling updates.
  • Record and update data in multiple platforms including Excel, Salesforce, NetSuite, and PDF editors.
  • Manage and process job completions, ensuring all production data is accurate and complete.
  • Assist with preparation of estimates and job documentation for customers.
  • Investigate missing or incomplete information by coordinating directly with field and operations personnel.
  • Track job progress and completion timelines to support billing and reporting accuracy.
  • Communicate effectively across departments and with external customers to verify project status.
  • Maintain organized documentation for all Mission Control-related tasks.
  • Perform additional administrative tasks as assigned.


Required Qualifications & Experience

  • High school diploma or equivalent required; associate degree preferred.
  • 1–3 years of administrative or data-entry experience in construction, telecom, or utilities.
  • Proficiency with Microsoft Excel, NetSuite, and PDF editing tools (Adobe/Foxit).
  • Excellent attention to detail, time management, and accuracy under deadlines.
  • Strong organizational, written, and verbal communication skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.


Preferred Experience

  • Familiarity with Salesforce, NetSuite, or other CRM/project management platforms.
  • Prior telecom or utility construction knowledge.
  • Experience with production tracking and estimating workflows.


Physical Demands & Competencies

  • Primarily sedentary role with extended periods of computer use.
  • Occasional filing, lifting (up to 20 lbs.), or standing on a stool as required.
  • High level of accuracy, accountability, and adaptability.
  • Strong interpersonal and communication skills.


Work Environment

  • Operates in a professional office environment with standard office equipment.
  • Frequent interaction with internal and external teams via phone, email, and collaboration tools.


Work Schedule

  • Full-time, non-exempt position.
  • Standard hours are Monday–Friday, with flexibility for weekends or extended hours as necessary.
  • Regular and punctual attendance is required.


Training & Development Expectations

New Hire Development

  • Complete Universal Services administrative and Mission Control onboarding within 90 days.
  • Learn job closeout, data entry, and daily production tracking procedures.
  • Gain proficiency in Excel, Nav, and Salesforce systems.
  • Develop understanding of company workflows and interdepartmental communication processes.

Ongoing Development

  • Continue improving accuracy and speed in data entry, estimating, and documentation.
  • Cross-train within other administrative departments to support company-wide operations.
  • Participate in Universal Services process improvement and systems development initiatives.
  • Demonstrate readiness for advancement to Lead Administrative Support through reliability, initiative, and communication excellence.
