Construction Administrator

Where: Smithfield RI

Pay: $50-70K DOE

Hours: M-F 8-4:30

What you’ll be doing:

  • Support the Project Manager and Service Manager in all aspects from initiation to completion of the project.
  • Make sure all project billing stays up to date
  • Work in conjunction with other team members to ensure resources, schedules and deliverables are all accurate and on time.
  • Ability to maintain accurate documentation, including contracts, purchase orders, change orders and project reports.
  • Communicate and maintain strong relationships with Clients, Subcontractors and suppliers to ensure project completion.
  • Review job reports, field staff reports, submittals, and other project related documentation
  • Assist with the review of subcontractor invoices and field staff reports.
  • Help with dispatching

What you need to bring to the table:

  • Knowledge of mechanical systems, including HVAC, plumbing, is preferred but we are willing to train the right person!
  • Strong billing skills, degree preferred but not required
  • STRONG computer skills and attention to detail
  • Strong multitasking and organization skills
  • Excellent communication and interpersonal skills with the ability to work well with others under pressure / deadline.
  • Administrative & Document Control
    • Complete various online documents such as pre-qualification forms and client/vendor compliance requirements.
    • Prepare reports, spreadsheets, and correspondence as directed.
    • Maintain accurate filing systems (digital and paper) to support easy access to project and office records.
  • Payroll & Finance Support
    • Assist with employees’ time entry to ensure accurate hourly payroll and job allocation when needed.
    • Possibly grow into supporting payables and receivables, including invoice coding, tracking, and follow-ups with vendors/customers.
  • Team Support
    • Provide day-to-day support to management and field staff with administrative needs.
    • Act as a communication bridge between office and field teams to ensure smooth coordination.
    • Assist in organizing company events, training sessions, or recognition activities.
  • Project Management Support
  • Assist with RFI's, submittal processes, Procore usage, etc.
