Construction Office Manager ( 3 plus years experience required)

Office Manager (Remote) – Construction Operations & Bookkeeping Assistant

Part-time to Full-time (15–35 hours/week)
Remote (Pacific Time business hours required)

Job Description

We are a California licensed general contractor, seeking an experienced Office Manager / Bookkeeper with a background in construction and project-based financial tracking. This role assists with the management of QuickBooks Online, assisting with job costing, invoicing and all general construction project administration.

Key Responsibilities

  • Oversee employee onboarding, including coordination of hiring documentation, orientation support, and system setup
  • Process and track employee timesheets and assist with payroll coordination
  • Assist in the development, implementation, and maintenance of company systems and workflows, including training team members on new processes
  • Ensure company compliance with all insurance requirements and California contractor licensing regulations, including maintaining accurate and up-to-date records
  • Provide direct administrative support to the CEO, including managing calendar, scheduling appointments, and assisting with day-to-day operational and marketing needs
  • Assist with bookkeeping and basic marketing tasks as needed
  • Track accounts receivable (A/R) and follow up on outstanding invoices
  • Assist in managing accounts payable (A/P), including vendor invoices and payment coordination
  • Support project managers with preparation and organization of contracts, change orders, and proposals
  • Maintain and organize project files, ensuring consistency and accessibility

Required Qualifications

  • 3+ years experience in construction office management and basic bookkeeping
  • Advanced proficiency in Microsoft Excel (formulas, tracking, basic reporting)
  • Strong working knowledge of Google Workspace (Drive organization, Docs, Sheets)
  • Ability to create and maintain professional, client-ready documents
  • QuickBooks Online Experience
  • Experience with job costing, A/R, A/P
  • Strong organizational and time management skills
  • Ability to work independently in a remote environment

Preferred Qualifications

  • Experience with a California General Contractor
  • QuickBooks Online Experience

Hiring Process

Selected candidates will complete a personality assessment and a short skills test related to bookkeeping or organization.

Pay: $28.00 - $38.00 per hour

Expected hours: 18.0 – 35.0 per week
