Office Manager (Remote) – Construction Operations & Bookkeeping Assistant

Job Description
We are a California licensed general contractor, seeking an experienced Office Manager / Bookkeeper with a background in construction and project-based financial tracking. This role assists with the management of QuickBooks Online, assisting with job costing, invoicing and all general construction project administration.
Key Responsibilities
- Oversee employee onboarding, including coordination of hiring documentation, orientation support, and system setup
- Process and track employee timesheets and assist with payroll coordination
- Assist in the development, implementation, and maintenance of company systems and workflows, including training team members on new processes
- Ensure company compliance with all insurance requirements and California contractor licensing regulations, including maintaining accurate and up-to-date records
- Provide direct administrative support to the CEO, including managing calendar, scheduling appointments, and assisting with day-to-day operational and marketing needs
- Assist with bookkeeping and basic marketing tasks as needed
- Track accounts receivable (A/R) and follow up on outstanding invoices
- Assist in managing accounts payable (A/P), including vendor invoices and payment coordination
- Support project managers with preparation and organization of contracts, change orders, and proposals
- Maintain and organize project files, ensuring consistency and accessibility

Required Qualifications
- 3+ years experience in construction office management and basic bookkeeping
- Advanced proficiency in Microsoft Excel (formulas, tracking, basic reporting)
- Strong working knowledge of Google Workspace (Drive organization, Docs, Sheets)
- Ability to create and maintain professional, client-ready documents
- QuickBooks Online Experience
- Experience with job costing, A/R, A/P
- Strong organizational and time management skills
- Ability to work independently in a remote environment

Selected candidates will complete a personality assessment and a short skills test related to bookkeeping or organization.
Pay: $28.00 - $38.00 per hour
Expected hours: 18.0 – 35.0 per week
