Job Summary:
We are seeking a highly organized and proactive Construction Trades Dispatch & Billing Coordinator to coordinate and manage the daily scheduling of field crews, equipment, and materials for multiple construction projects. The ideal candidate will serve as the central point of contact between field teams, subcontractors, suppliers, and internal departments to ensure timely execution of project tasks and efficient job site operations.
Key Responsibilities:
- Dispatch and schedule crews, subcontractors, and equipment to various job sites based on project priorities and deadlines
- Maintain clear and constant communication with field personnel to manage work progress, respond to delays, and reroute assignments as needed
- Track and document crew hours, job site check-ins/outs, and daily progress logs
- Coordinate with the purchasing team to ensure timely delivery of materials and tools
- Collaborate with project managers and operations staff to understand site requirements and project schedules
- Use dispatching software or spreadsheets to manage job assignments and update schedules in real time
- Serve as a point of contact for emergency changes, last-minute schedule adjustments, and service calls
- Monitor vehicle and equipment usage, tracking maintenance needs and downtime
- Ensure compliance with safety protocols and company policies in dispatch operations
- Prepare and submit daily and weekly operations reports for leadership review
Qualifications:
- 2+ years of experience in dispatch, logistics, or operations support, preferably in a construction or field services environment
- Proficient in ServiceTitan, including scheduling, dispatch, job costing, and CRM functions. Please note: Applicants without prior experience using ServiceTitan will not be considered.
- Strong organizational and multitasking skills, with the ability to manage changing priorities
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Excel, Outlook, Word); experience with dispatch or project management software is a plus
- Ability to remain calm under pressure and handle urgent scheduling issues efficiently
- Knowledge of construction terminology, job site procedures, and safety standards is preferred

Job Type: Full-time
Pay: $60,000.00 - $90,000.00 per year
