Role Overview
This is a part-time, hybrid Contract Administrator role supporting a technology-driven organization engaged in advanced microchip manufacturing and heavily funded through U.S. Government research and development contracts, with an increasing volume of commercial activity.
The role is designed to strengthen contract administration, grant tracking, and compliance infrastructure during a period of growth and systems evolution. The organization currently operates in QuickBooks with external grant tracking tools and anticipates a migration to Microsoft Business Central in 2026, which will enable more integrated and sophisticated contract administration within the ERP environment.
This position works closely with Finance and Operations leadership and is well suited for a detail-oriented professional who demonstrates working knowledge of the Federal Acquisition Regulations, including core concepts related to cost accumulation, allowability, indirect cost pools, and indirect rate models.
Work Arrangement & Schedule
- Part-time position, approximately 15–25 hours per week
- Hybrid remote schedule with one in-office day per week in Tempe, Arizona
- Flexible scheduling with agreed-upon deliverables and reporting deadlines
- Potential opportunity to grow into a full-time role as contract volume increases
Core Responsibilities
Contract & Grant Financial Administration
- Create and maintain grant and contract tracker spreadsheets capturing life-to-date expenditures, billings, remaining balances, and accrued or deferred revenue positions
- Load approved contract budgets by expenditure type from award documents and monitor performance against actuals over the life of each contract
- Read, interpret, and summarize U.S. Government contract awards, modifications, funding increments, and key terms for Finance and Operations leadership
- Track periods of performance, burn rates, and funding status to support proactive contract management decisions
Financial Reporting, Compliance, & Indirect Rates
- Collaborate with the Accounting Manager and Operations Manager to align contract requirements with accounting treatment and reporting
- Prepare monthly contract administration reports for management, including contract financial status, indirect cost pool accumulation, applied rate calculations, and key variances
- Apply and communicate principles of cost allowability, allocability, and reasonableness under FAR and Uniform Guidance
Subaward, Systems, & Process Support
- Administer subaward relationships under prime government contracts, including tracking expected invoices and following up on missing or delayed submissions
- Review subaward invoices for accuracy, consistency with subaward terms, and compliance with allowable cost principles
- Maintain organized contract and grant documentation to support internal controls and audit readiness
- Support improvements to grant tracking tools, reporting formats, and future integration of contract administration workflows into Microsoft Business Central
Required Knowledge, Skills, & Abilities
- Demonstrated working knowledge of Federal Acquisition Regulation (FAR) concepts
- Understanding of cost allowability, indirect cost pools, and rate models
- Ability to read and understand U.S. Government contract awards and modifications
- Strong attention to detail and comfort working with multi-tab spreadsheets and reconciliations
- Ability to communicate clearly and professionally with finance, operations, and management personnel
- Ability to manage 3–6 active contracts and related deadlines in a part-time capacity
Preferred / Helpful Experience
- Prior experience supporting government-funded R&D contracts
- Experience with Microsoft Business Central (helpful but not required)
- Bookkeeping or accounting support experience (helpful but not required)
- Background or working familiarity with advanced manufacturing, microelectronics, or semiconductor-related technical concepts
Pay: $35.00 - $60.00 per hour
