TITLE: Coordinator of Out-of-School Time Programs 2025-2026 School Year

POSITION SUMMARY:The Coordinator of the Out-of-School Time (OST) Program for Wayland School Community Programs oversees the daily operations of OST programs, including after-school, early release days, vacation weeks, summer programs, enrichment, and tutoring programs. The role focuses on program development, staff training, and budget management, ensuring high-quality care for students in grades K-12. The program operates from dismissal until 6:00 PM, including early release days, vacation weeks, and summer sessions. The mission is to provide high-quality, affordable Out-of-School Time care that complements classroom learning with engaging, hands-on experiences.

The Coordinator plays a key role in supporting students' academic, social, and emotional growth. The role incorporates innovative strategies such as recreational enrichment, STEAM, Service Learning, Entrepreneurial programming, and Socio-Emotional Learning (SEL).

TRAINING AND EXPERIENCE:

  • Minimum of three (3) years of experience working with school-age children in a supervisory role.
  • Bachelor’s Degree required, preferably in education or a related field.

SKILLS AND ABILITIES:

  • Knowledge of best practices in OST program administration and curriculum development.
  • Ability to manage program budgets, registration, and evaluation.
  • Strong leadership, team-building, and communication skills.
  • Experience working closely with school administration and community organizations.
  • Proficiency in Microsoft and Google applications.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Experience working in community-based programs with an understanding of urban issues.
  • Ability to travel for meetings, training, and workshops.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plan, develop, and evaluate programs to meet state and district objectives.
  • Manage program budgets and registration in collaboration with the Director.
  • Ensure compliance with EEC and DESE program requirements.
  • Supervise and coach staff, providing opportunities for professional development.
  • Conduct regular staff meetings and foster a productive, positive work environment.
  • Develop partnerships with parents, community leaders, and organizations.
  • Perform other duties as assigned by the Director of Wayland School Community Programs.

ORGANIZATIONAL LEADERSHIP:

  • Foster a positive work environment and be visible and available to the team.
  • Exhibit professionalism, communicate staff expectations clearly, and solve program challenges proactively.
  • Respond effectively to crises and unexpected situations.
  • Encourage staff input, new ideas, and suggestions.
  • Keep staff informed about schedule and policy changes, budget issues, and program updates.
  • Plan and lead organized, productive staff meetings.
  • Monitor program effectiveness and explore avenues for improvement, regularly soliciting staff feedback.

STAFF SUPPORT:

  • Model effective strategies in behavior management, teaching, and parent communication.
  • Actively engage with children and encourage independence, ensuring the classroom environment is nurturing and supportive.
  • Assist staff in managing challenging behaviors with positive, consistent interventions.
  • Provide supervision and feedback in a non-judgmental, supportive manner.
  • Act as a resource for staff and encourage communication between staff and parents.

RELATIONSHIP WITH PARENTS:

  • Maintain a positive rapport with families and provide guidance and support as needed.
  • Effectively communicate the program’s mission and educational philosophy.
  • Encourage parent participation and make them feel welcomed and involved.

PROGRAMMING SUPPORT:

  • Support developmentally appropriate, open-ended activities that foster creativity and exploration.
  • Guide children in positive social interactions and resolving conflicts.
  • Ensure the physical and emotional well-being of children in all program settings.

PLANNING:

  • Ensure predictable daily routines and collaborate with the team to implement them effectively.
  • Regularly reassess and adapt the classroom and outdoor learning environments to enhance children’s experiences.
  • Provide equal opportunities for all children to engage in activities, being sensitive to their individual needs.

PROFESSIONAL RESPONSIBILITIES:

  • Attend all required staff meetings, trainings, and parent functions.
  • Be punctual, reliable, and maintain a professional demeanor.
  • Manage time effectively and complete tasks in a timely manner.
  • Support program policies, procedures, and the overall philosophy of WSCP.
  • Stay up-to-date on health and safety protocols and respond to emergencies appropriately.
  • Demonstrate a commitment to continuous professional development through workshops, reading, and coursework.

PHYSICAL WORKING CONDITIONS:

  • Must be able to move throughout the school building and remain stationary for periods of time.
  • Occasionally required to reach, kneel, crouch, or lift items weighing up to 20 lbs.
  • Frequent use of computers and office equipment.
  • Must be able to interact with students, parents, and staff in various physical spaces, including outdoors.

REPORTS TO: Director of Wayland School Community Programs

SUPERVISORY RESPONSIBILITIES: Supervises OST Programs, Vacations, and Summer Programs

FAIR LABOR STANDARDS ACT (FLSA) CLASSIFICATION: This position is classified as Non-Exempt.

  • Citizenship, residency, or work visa required
  • Successful completion of Criminal Records Check (C.O.R.I.), Sexual Offender Record Check (S.O.R.I.), and fingerprints.

Job Details:

  • Type: Full-time
  • Pay: $37.52 - $41.62 per hour, based on qualification and experience
  • Benefits: Retirement plan, dental insurance, health insurance, vision insurance, paid time off (holidays, sick days, personal days, and vacations)
  • Up to 11 paid holidays

  • 13 paid vacation days
  • Bereavement Leave of 3-5 paid days can be requested for deaths in the family, and must be approved by the WSCP Director.

Schedule Overview:

This full-time, 12-month position includes vacation time and summer commitments.

  • School Year Hours: Initially planned from 11:30 AM to 5:30 PM
  • Summer Hours: 8:30 AM to 4:00 PM
  • Vacation Weeks (February & April): 8:00 AM to 5:00 PM
  • Please note: We offer only 4 program days during each vacation week.
  • The standard program hours during these weeks are 8:30 AM to 4:45 PM, and we will provide additional compensation for the extended coverage.
