JOB PURPOSE
Provide administrative support to the Line Manager and the After Sales Service Team. The role primarily involves interface across all BU divisions and the team to communicate and gather relevant information, produce reports, provide internal/external customer service and facilitate smooth operations. Effectively work as an interface to facilitate smooth operations.
ACCOUNTABILITIES
Administration: Prepares weekly/monthly reports and presentations upon request of the Line Manager. Coordinate with different teams in all workshops locations to gather background information to achieve the desired reports and documentation. Distribute meeting minutes as advised by the line manager when required.
Incentive Management: Manage and report incentive and over time for employees under the department to finance before the monthly deadline. Coordinate with HR to report on performance objectives and new joiner assessments. Coordinate with HR to ensure all formalities are in place for new joining employees
Customer care: Answers customer calls and queries to provide support to the front desk team during their absence or busy periods. Ensure all reports and documentation is maintained for internal audit. Ensure effective filing for Aftersales service documents
Stationary: Prepares department requests through the Online Requisition system and coordinates with Procurement team to facilitate supplier’s quotation, delivery and payments. Monitors special tools and consumables inventory and follows-up to replenish stock as required. Following subcontractors according to workshops requirement and to be inline will the service documents.
QUALIFICATION (e.g. Academic Qualification, Certifications, Licenses)
Diploma in Business, Management or equivalent.
EXPERIENCE
3 – 5 years of minimum experience in Service Support role.
Experience within automotive industry preferred.
