Customer & Sales Support Specialist

What's your mission?

The mission of Customer Service is to deliver exceptional service that enhances customer experience and fosters brand loyalty; together with the sales team. Key stakeholder for this role internally would be the sales team.

️Here's what you'll be rocking every day General
  • Internal & external communication and clarifications with sales, pricing, financial reconciliation, planning, distribution, quality control, customs, forwarding agents etc.
  • Responsible for the overall assigned customer account management to ensure and exceed customer satisfaction.
  • Supported the account managers in quoting clients on potential opportunities, projects administration & account management activities.
Fragrance samples
  • Manage and follow up of the fragrance shipments for international clients for their evaluation.
  • Getting fragrance samples ready for client visits, coordinating its production with the Laboratory.
Order Management
  • Handling and monitoring all orders from the client in the market with processing their orders through SAP system and ensuring the incoming order is correct in terms of quantity of products, quantity and pricing.
  • Providing regular open order to all the clients ensuring that we can keep our promised delivery time and become the first point of contact if there are any queries - Leading regular meetings to discuss and update the orders with the clients.
Regulatory
  • Lease with the regulatory department in order to prepare regulatory documentation needed for the client.
Customer queries
  • Solving queries from clients and proactively anticipate improvements that could be done.
  • Support for the Sales Community on registering clients' non-conformities, general enquiries
  • Coordinator for root cause investigation, quality and speed of complaint management for customers, ensuring key stakeholders are involved for resolution and follow up.
Payment
  • Follow up on over dues, follow up customer payments, generating reports and monitor department indicators.
Data
  • Keep our SAP system updated on all the information related to orders, clients and technical documents.
  • Ensure all prices are updated in SAP and our SharePoint are updated with client related documents
What you need to shine in this role
  • Minimum 5 years of experience in Customer Service, ideally within the Fragrance industry.
  • Bachelor's degree in Business, Administration, or any related field.
  • Fluent English; Arabic is a strong plus.
  • Understanding of sales coordination and order to cash processes.
  • Experience supporting projects and sample coordination.
  • Good command of MS Excel.
  • Familiarity with CRM tools.
  • Experience working with SAP or similar ERP systems.
