Job Title: Data and Logistics Assistant

Location: Must be physically located in the service area (Lee, Collier, Hendry or Glades County), must have the ability to work in the office, and remotely, and attend in-person and online meetings as required

Starting Pay Range: $19-21, based on experience

This is a grant-funded position and is contingent upon funding award and continued grant availability.

Summary

Under the supervision of the Program Manager, the Data and Logistics Assistant supports the new maternal and child health telehealth program through data management, reporting, logistics coordination, and operational support. This role ensures accurate data entry, tracking, monitoring, and reporting in compliance with Healthy Start Standards, Department of Health contracts, and grant requirements. The position also coordinates program logistics, supplies, and workflow processes to support Perinatal Navigators, program staff, and community partners. This role is essential to ensuring data integrity, operational efficiency, and continuous quality improvement across programs. This role requires a proactive, detail-oriented individual who can work collaboratively with diverse teams and stakeholders to achieve our goals.

Essential Duties and Responsibilities include the following:

· Develop in-depth knowledge of Healthy Start Coalition of Southwest Florida programs, contracts, data systems, and reporting requirements related to maternal and child health.

· Enter, maintain, and monitor client, program, and service data in designated databases in compliance with Healthy Start, Department of Health, and funder requirements.

· Conduct routine data quality checks to ensure accuracy, completeness, timeliness, and consistency of records.

· Generate standard and ad hoc reports to support program monitoring, performance measures, grant reporting, and quality improvement activities.

· Track enrollment, service delivery, referrals, follow-up, and outcomes across assigned programs.

· Support Perinatal Navigators and program staff by providing data summaries, tracking tools, and logistical support as needed.

· Maintain program files, documentation, and records in accordance with contract, audit, and confidentiality requirements.

· Coordinate program logistics, including supplies, inventory, distribution, ordering, and record keeping.

· Assist with onboarding, access, and basic technical support related to databases, telehealth platforms, and program tracking systems.

· Support scheduling, meeting coordination, and preparation of materials for program meetings, trainings, and community events.

· Participate in continuous quality improvement activities, including data reviews, process improvement initiatives, and corrective action monitoring.

· Assist with preparation for monitoring visits, audits, and evaluations by funders or regulatory entities.

· Maintain confidentiality of client, family, and program information in accordance with Coalition policies, professional standards, and applicable laws.

· Attend meetings, trainings, and professional development activities as required.

· Perform other duties as assigned.

Experience & Skills

· A high school diploma or GED is required, with an associate’s degree preferred in public health, health information management, health sciences, human services, community health, business administration, office administration, information systems, data management, or a related field.

· At least two years of experience in data entry, reporting, program coordination, or administrative support, preferably in a healthcare, nonprofit, or public health setting.

· Experience working with databases, electronic records, reporting systems, and mobile or telehealth technology platforms for data tracking, scheduling, reporting, and operational support; familiarity with maternal and child health programs preferred.

· Strong attention to detail and commitment to data accuracy and confidentiality.

· Proficiency in Microsoft Office applications, including Word, Excel, and database systems; comfort with web-based platforms and data tools.

· Ability to organize, prioritize, and manage multiple tasks and deadlines in a fast-paced environment.

· Strong written and verbal communication skills.

· Ability to work independently and collaboratively with diverse teams and stakeholders.

· Ability to handle sensitive information with discretion and professionalism.

· Must have a valid driver’s license, reliable transportation, and be able to lift 15–20 lbs as needed for program logistics.

Employment Type

This is a part-time, non-exempt position. Standard hours of operation are M-F 8:30am-5:00pm. The schedule is flexible and may require some evening and weekend activities. Travel within Lee, Collier, Hendry, and Glades counties is required.
