Dental office manager

Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workspace. As an Office Manager, you will be the backbone of our office, managing administrative tasks with energy and precision to foster a positive work atmosphere. Must have knowledge of software functioning and insurance reimbursements.

Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Oversee calendar management and scheduling for team meetings, appointments, and events using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, proofreading, and document management to ensure accuracy and organization across all administrative records
  • Provide customer support by addressing inquiries promptly via phone or email, ensuring excellent customer service at all times
  • Coordinate office supplies procurement, inventory management, and maintenance to keep the workspace fully functional
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
  • Support personal assistant functions such as travel arrangements, calendar updates, and task prioritization for executives or team members

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills and organizational abilities
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, data entry, and general office software
  • Excellent multitasking skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus for diverse client interactions
  • Experience with multi-line phone systems, filing systems, proofreading, and calendar management tools
  • Previous experience as a receptionist (dental or medical) or personal assistant is advantageous
  • Knowledge of bookkeeping practices using QuickBooks or similar programs; familiarity with office equipment such as printers and fax machines
