The Role
The Treatment Plan Coordinator is the bridge between clinical recommendations and patient reality. You will be responsible for ensuring patients understand their oral health needs while navigating the complexities of dental insurance and financing.
Key Responsibilities
- Treatment Presentation & Collaboration: Work closely with our dental providers to review, explain, and present treatment plans. You will ensure patients have a full understanding of their care and provide informed consent.
- Insurance & Billing Mastery: Manage medical/dental billing and coding processes (CDT codes). Perform pre-determinations of insurance eligibility and verify treatment lists for reimbursement.
- Financial Coordination: Assist patients with financial arrangements by clearly explaining treatment costs, insurance benefits, and payment options.
- Claims Management: Diligently follow up on outstanding claims, handle resubmissions, manage secondary claims, and ensure accurate postings and patient collections.
- Administrative Excellence: Coordinate complex appointment scheduling and follow-up care plans. Manage multi-line phone systems with professional etiquette.
- Records & Compliance: Review medical records for accuracy and completeness. Maintain organized health information management systems in strict compliance with HIPAA regulations.
- Office Support: Assist with essential management tasks including filing, data entry, and maintaining a streamlined front-office workflow.
Requirements
- Experience: Proven background in dental administrative support or dental office management. Previous clinic or dental office experience is highly preferred.
- Technical Proficiency: Demonstrated expertise in EMR/Dental software such as Curve, Dentrix, or Eaglesoft is essential.
- Industry Knowledge: Strong command of dental/medical terminology, CDT Codes, and current medical billing practices.
- Insurance Savvy: Deep experience verifying benefits for private insurers and navigating the claims process.
- Soft Skills: Exceptional customer service skills and a professional, empathetic phone presence. You must be able to discuss financial matters with patients comfortably and clearly.
- Attributes: High attention to detail, a proactive work ethic (diligent), and a passion for high-quality patient care.
