Dermatology Patient Concierge/Assistant Office Manager

Join our dynamic dermatology practice as a Dermatology Patient Concierge and Assistant Office Manager, where your energetic and organized approach will be essential to delivering exceptional patient care and seamless office operations. In this vital role, you will serve as the first point of contact for patients, ensuring their experience is welcoming, efficient, and positive. You will also oversee administrative functions, coordinate appointments, manage medical records, and support the clinical team with accurate documentation and billing processes. This position offers an exciting opportunity to combine excellent customer service skills with comprehensive medical administrative support in a fast-paced dermatology environment.

Responsibilities

  • Greet patients warmly upon arrival, verify insurance coverage, and perform insurance verification using ModMed/EMA.
  • Schedule appointments efficiently utilizing EMR (Electronic Medical Records) systems and coordinate follow-up visits to optimize clinic flow.
  • Manage patient intake processes, including collecting medical histories, updating records, and reviewing documentation for accuracy and completeness.
  • Assist with billing procedures such as medical collection efforts, coding (CPT, ICD-9/10), and Medicare claims processing to ensure timely reimbursement.
  • Maintain meticulous medical records in compliance with HIPAA regulations; review documentation for accuracy and completeness.
  • Support front desk operations by answering multi-line phone systems with professional phone etiquette and managing patient inquiries promptly.
  • Facilitate communication between clinical staff and patients to ensure clarity on care plans, medication instructions, and follow-up care.
  • Handle office management tasks including filing, data entry (10 key typing), managing electronic health records (EHR systems), and maintaining office supplies.
  • Verify insurance benefits and assist with pre-authorizations to streamline patient visits.
  • Support the clinic’s administrative team with tasks such as appointment reminders, patient check-in/out procedures, and documentation review.
  • Helping sell product and procedures and educating patients.
  • Collecting payment and making sure each patient had a pleasant experience.
  • Handle difficult situations with patience and problem solving skills.

Requirements

  • Proven experience in a medical office setting with strong knowledge of EMR systems such as Epic, Meditech, Athenahealth or eClinicalWorks.
  • Familiarity with medical billing processes including coding (CPT, ICD-9/10), insurance verification, Medicare claims, and documentation review.
  • Excellent customer service skills with professional phone etiquette; bilingual abilities are a plus to serve diverse patient populations.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment; experience managing front desk or office management duties preferred.
  • Knowledge of HIPAA regulations to ensure patient confidentiality and data security at all times.
  • Proficiency in Microsoft Office Suite (Word, Excel) along with basic computer skills for data entry and record keeping.
  • Previous clinic or medical office experience is highly desirable; dental or hospital experience is a plus.
  • Ability to handle sensitive information accurately while demonstrating attention to detail in all tasks related to medical records and billing. Pay: $26.00 - $31.00 per hour
