Development Assistant

Summary Description

The Development Assistant provides comprehensive administrative and operational support to the WSG Advancement team, with primary reporting to and supporting of the Chief Advancement Officer. This role combines database management, donor record maintenance, event coordination, and executive administrative support. The Development Assistant must be extremely detail-oriented to ensure impeccable donor services and effective administrative operations.

Part-Time Position (30 hours per week), Non Exempt position

Primary ResponsibilitiesFundraising Coordination and Database Management

  • Support Advancement and Finance Department with data quality assurance to maintain complete and accurate constituent and the annual audit
  • Create and coordinate Weekly and Monthly Donation reconcilation records
  • Collaborate with Finance Department to ensure financial and donor records are accurate and audit ready
  • Maintain and update the RE Procedures Manual to reflect current policies
  • Implement and manage database clean-up processes (monthly, quarterly, and annual):
  • National Change of Address (NCOA) checks
  • Bounced email checks
  • Addressee and salutation checks
  • Duplicate record identification
  • Coordinate with staff to ensure timely addition of in-kind donations and volunteer records
  • Provide database administration support through:
  • Data entry
  • Importing and exporting data
  • Generating and segmenting mailing lists
  • Assisting with correspondence campaigns
  • Managing data quality projects

Expanded Database Capacity

  • Lead professional development related to Raiser's Edge (RE) for the Frontline Fundraisers
  • Implement new workflows for donors and giving groups
  • Develop automated stewardship processes
  • Create comprehensive reports and dashboards
  • Network with other schools/nonprofits to identify best practice

Executive Support

  • Provide administrative support to the Chief Advacement Officer, including:
  • Scheduling meetings and coordinating calendars
  • Managing communications (phone calls, emails)
  • Preparing documents, correspondence, spreadsheets, and presentations
  • Organizing and maintaining filing systems (paper and digital)

Event Coordination

  • Provide comprehensive logistics and hospitality support for fundraising events:
  • Manage catering
  • Coordinate set-up
  • Track RSVPs
  • Manage attendee communication
  • Coordinate event volunteers
  • Support Auxiliary Board, Scholars Circle, and Development Committee events

Qualifications

  • 1-3 years of professional fundraising experience
  • Proficiency with standard organizational software applications (Word, Excel, Google Apps)
  • Experience with fundraising software (Raiser's Edge / RE NXT preferred)
  • Experience with project management tools (Asana)
  • Ability to work independently on multiple, high-priority projects with competing deadlines
  • Strong planning, data analysis, and project organization skills
  • Exceptional writing and strong grammatical skills
  • Excellent attention to detail and follow-through
  • Team collaborator who also works well independently
  • Ability to evaluate opportunities and make recommendations

  • High School Diploma or equivalent (Bachelor's degree preferred)

Compensation

$25-$31 per hour, depending on experience
