About the Role

The Director of Admissions owns the front door of the company. You will lead our centralized admissions call center — hiring, training, coaching, and holding accountable a team of admissions representatives — and partner directly with our regional business development teams to place clients into the right program, at the right level of care, anywhere in our national footprint. This is a hands-on leadership role for someone who has run high-volume behavioral health admissions before, knows what a great speed-to-lead operation looks like, and can manage both the human side (motivating a phone team, handling families in crisis) and the operational side (metrics, workflows, payer screening, conversion accountability).

This is an in-person role. You will be on the floor with your team.

What You'll Do

Call Center Leadership

  • Manage, coach, and develop the admissions representative team: hiring, onboarding, training, scheduling, QA call reviews, and performance management
  • Own speed-to-lead and contact-rate standards across all inbound channels (phone, web forms, paid lead flows, chat/SMS)
  • Build and enforce call scripting, objection handling, and crisis-sensitive communication standards appropriate to families making treatment decisions
  • Run daily huddles and weekly performance reviews against clear KPIs: contact rate, conversion rate by source, time-to-admit, show rate, and revenue per admit
  • Coordinate staffing coverage across extended hours, weekends, and holidays — admissions never sleeps

Placement & Business Development Partnership

  • Work directly with regional business development teams to coordinate treatment placements across the country, matching clients to the appropriate Kaizen program by level of care, location, clinical fit, and payer
  • Serve as the escalation point for complex placements: dual-diagnosis, medical complexity, out-of-footprint referrals, and time-sensitive transfers
  • Maintain tight feedback loops with BD on referral source experience — every professional referral should get white-glove handling and closed-loop communication
  • Manage relationships with referring facilities, interventionists, and professionals during active placements

Admissions Operations

  • Own verification of benefits and financial screening workflows in partnership with the billing/UR team, ensuring accurate payer qualification before admission
  • Oversee pre-admission clinical screening handoffs to clinical teams, ensuring admission criteria and exclusionary criteria are consistently applied
  • Maintain CRM hygiene and pipeline accuracy (Salesforce); ensure every lead, referral, and disposition is documented and attributable to source
  • Partner with marketing on lead quality feedback, source-level conversion reporting, and closed-loop attribution
  • Ensure admissions practices comply with applicable regulations, including EKRA, 42 CFR Part 2, HIPAA, and state marketing/admissions rules

Reporting & Accountability

  • Report weekly admissions performance to executive leadership: census pipeline, conversion by source and rep, lost-admit reasons, and forecast
  • Identify and fix conversion leaks in the funnel — from first contact through admit day

Required Qualifications

  • 5+ years of behavioral health admissions experience (SUD and/or mental health treatment), with at least 2 years managing an admissions team or call center
  • Demonstrated track record of hitting census and conversion targets in a metrics-driven admissions environment
  • Direct experience with verification of benefits, commercial insurance qualification, and level-of-care placement across outpatient and residential settings
  • Experience working with business development / referral relations teams and handling professional referral sources
  • Proficiency with CRM-driven admissions workflows (Salesforce strongly preferred) and call center telephony/dialer platforms
  • Working knowledge of EKRA, 42 CFR Part 2, and HIPAA as they apply to admissions and marketing
  • Ability to work on-site full time; flexibility for extended hours during high-volume periods
  • Composure and empathy handling clients and families in crisis, and the ability to train that skill into a team

Preferred Qualifications

  • Multi-site or multi-state admissions leadership experience
  • Experience in out-of-network commercial PPO environments
  • Familiarity with call tracking and attribution platforms (CTM or similar) and speed-to-lead automation
  • Experience standing up or scaling an admissions department (workflows, scripts, QA programs from scratch)
  • Bilingual (English/Spanish) a plus

Pay: $75,000.00 - $90,000.00 per year
