Job Description


Job summary –

Oversee the Purchasing Department, with responsibility for procurement and inventory control, including ordering, receiving, processing and maintaining goods and services for the hotel.


Essential Duties and Responsibilities –
(Key Activities)

  • Work with department heads to source products from vendors that have been approved by corporate office, while continuing to ensure competitive pricing.
  • Conduct analysis of cost proposals to provide recommendations to management. Be resourceful, creative and adaptable.
  • Ensure full compliance with all local and corporate policies, internal controls, procedures, and safeguards related to the Purchasing Department.
  • Maintain and update e-Procurement computerized system and prepares status reports on a daily, weekly, and monthly basis.
  • Ensure that department heads approve POs in a timely fashion, and update and receive goods daily in the BSS Procurement System. Report to the Assistant Director of Finance in the Director’s absence.
  • Make recommendations and suggestions of improvements and cost savings to the Director of Finance, Hotel Manager or Managing Director.
  • Ensure continuous improvement of processes through team collaboration and technology implementation resulting in improved service levels and reductions in total costs.
  • Liaise with Accounts Payable Department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier.
  • Maintain accurate purchasing records with clarity and a proper trail of all purchasing documents.
  • Ensure that all ordered items are received and of expected quality. All purchases/returns/credits will be documented and consolidated into Daily Reports.
  • Ensure receiving is performed timely with sufficient controls and safekeeping.
  • Ensure purchasing team compares delivery slips with invoices and with the approved purchase orders and verifies merchandise received corresponds to the quantities and quality ordered. Ensure the purchasing team checks unit prices and the accuracy of additions and extensions in the delivery slips and invoices.
  • Notify recipients in the event merchandise was not accepted, delivered short or late.
  • Review Non-F&B daily receiving report and follows-up on items not delivered.
  • Ensure all storage areas are secure, well-maintained, clean, and properly organized. Ensure the prompt removal of received merchandise from the receiving area.
  • Monitor storeroom inventory levels to avoid waste, overstock and stock-outage situations.
  • Conduct inventory counts monthly to ensure inventory value is accurate, more frequently when necessary. Ensure controls are in place to prevent theft, and requisitions from Inventory are recorded and being done correctly.
  • Monitor slow-moving inventory and ensure a monthly Slow-Moving Stocks Report is prepared and distributed to the Director of Finance and relevant Division Heads.
  • Model the company’s culture, vision, mission, and core values.
    • Comply with all departmental policies, service procedures and standards.
    • Interact in courteous, professional, and timely manner with guests, staff, and community members.
    • Maintain clean and safe work area. Use equipment only as intended.
    • Ensure that standards, inclusive of grooming and attire of staff, are maintained at a superior level daily.

Required Skills

  • Technical Skills:
  • Thorough knowledge of food, beverage, dry goods, general supplies, printed materials, operating equipment, engineering supplies, equipment maintenance, housekeeping amenities, and hotel capital expenditures.
  • Thorough knowledge of manual and computerized inventory control methods and spreadsheet software. Ability to design and implement effective purchasing procedures as well as input, analyse, and retrieve information from the systems.
  • Ability to evaluate vendors and negotiate terms with vendors.
  • Managerial Skills:
  • Ability to train, motivate, evaluate, mentor and direct employees and managers to meet desired ends. Maintain excellent relations with staff.
  • Ability to maintain staff and guest confidentiality. Ability to delegate responsibilities and accept responsibility for actions of others.
  • Language: Required to speak, read and write English, with fluency in other languages preferred.
  • Physical Skills: Must be able to exert physical effort in transporting 50 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.


Qualifications:

  • A minimum of three years’ experience in hotel, restaurant or related purchasing environment with a minimum of two years’ supervisory experience.
  • College degree or equivalent work experience.
  • Licenses & Certifications: None required.
  • Knowledge and use of the BSS (Birchstreet) Purchasing System.
  • Must have skills in database, spreadsheet, or other accounting applications.


$120,000 - $130,000 annually based on experience.
