Discussion Group Student Coordinator

Position Overview

The Dole Institute of Politics hosts a variety of programs during the academic year, such as political discussions, interview sessions, and roundtable discussions. We are currently hiring one Discussion Group Student Coordinator to support our Dole Fellows and Discussion Group series and overall outreach efforts.

The Dole Institute awards a fellowship each semester to a professional in the political arena to communicate his/her experiences in a series of discussion group sessions. The sessions are open to both the student and community populations. The Discussion Group Student Coordinator will work closely with the current Fellow and the Director of Programs and Student Affairs in the promotion and production of the discussion groups, as well as other Dole Institute programs and events.

This position will work under the supervision of the Director of Programs and Student Affairs.

Hours: 8-15 hours per week; flexibility in scheduling Monday-Friday between 9 a.m. and 5 p.m. for daytime office hours, as well as attending SAB meetings and evening events. Mondays 4-7:30 p.m. and Wednesdays 3-6 p.m. required for fall 2026 semester.

Job Description

50% - Event Support:
  • Execute Discussion Group logistics including organizing refreshments for each session, assisting the Fellow with preparations, arranging post-discussion group dinners and student meet and greets on selected dates, and tracking RSVPs.
  • Assist with general event set-up and tear-down including moving chairs, tables, and other event related furniture.
30% - Outreach:
  • Attend 1 SAB recruitment event and 4 SAB meetings each semester as a representative of the Discussion Group series.
  • Meet with fellow at the beginning of semester: create and execute a promotional plan, organize and host fellow on campus and community visits, maintain communication with fellow throughout the semester, and plan discussion group sessions and supplemental engagement opportunities for students.
  • Promote Dole Institute programming to KU students by tabling, contacting professors and student groups, and sending out reminders.
  • Inform staff of upcoming Discussion Groups and Fellow events and document projects and activities, including by sending a weekly memo and writing a semester recap blog post.
  • Identify SAB members for discussion group dinners and opportunities.
20% - Administrative Responsibilities:
  • Attend regular student meetings, including the weekly marketing meetings, which take place on Friday.
  • Send thank you notes to guest speakers and assemblE goodie bags.
  • Keep up-to-date attendance records.
  • When in the Dole Institute office, provide administrative support including answering the phone, greeting visitors, and assisting with special projects as assigned by staff.
  • Collaborate with the other Discussion Group coordinator, student assistants, and Fellows.

Required Qualifications

  • Served at least one semester and be a member in good standing on the Dole Institute Student Advisory Board as evidenced by application materials.
  • Experience with Microsoft Office and Outlook programs as evidenced by application materials.
  • Excellent verbal and written communication skills as evidenced by coursework and application materials.

Preferred Qualifications

  • Past participation in Discussion Groups as evidenced by application materials.
  • Past participation in Dole Institute events or programs as evidenced by application materials.
  • Minimum of 15 months remaining as a student at KU as evidenced by application materials.
  • Experience in event planning as evidenced by application materials.
  • Eligible for federal work study.

Position Requirements

  • During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).
  • It's required to be a current, active SAB member to apply for this position.

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.

(3) Availability is required during Discussion Group times (Mondays 4-7:30 p.m.; Wednesdays 3-6 p.m. for fall 2026).
