Dispatch and Fuel Coordinator

Job Overview
Lyme Green Heat is seeking a Fuel Coordinator / Dispatcher to help manage daily delivery logistics for our growing fleet of trucks. This role focuses on scheduling deliveries, coordinating routes for 7–9 drivers, and solving day-to-day logistics challenges to keep fuel moving efficiently. The position works closely with drivers, staff, and office personnel and may occasionally coordinate with customers when delivery schedules need to be adjusted.

This is a hands-on operations role that requires strong organizational skills, clear communication, and the ability to manage multiple moving parts at once. The dispatcher plays an important role in ensuring safe, efficient deliveries while supporting drivers and maintaining a high level of service for our customers.

Responsibilities

  • Plan and schedule daily delivery routes for a fleet of 7–9 drivers across New Hampshire, Vermont, and Western Massachusetts
  • Coordinate delivery schedules based on customer demand, driver availability, weather conditions, and equipment capacity
  • Communicate regularly with drivers throughout the day to adjust routes and resolve logistical challenges
  • Monitor delivery progress and respond quickly to schedule changes or unexpected issues
  • Maintain delivery schedules and routing information using spreadsheets and dispatch software
  • Work with office staff to ensure customer orders are entered accurately and deliveries are completed on time
  • Assist in coordinating bulk pellet deliveries and related logistics
  • Help track delivery data, driver activity, and operational information for internal reporting
  • Support general office operations related to scheduling and logistics
  • Participate in shared winter on-call coverage with other office staff to help address urgent delivery needs

Qualifications

  • Strong organizational and problem-solving skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Comfortable working with spreadsheets and computer-based scheduling systems
  • Clear and professional communication skills with both drivers and customers
  • Ability to stay calm and solution-oriented when schedules change or problems arise
  • Familiarity with logistics, transportation, dispatch, or operations coordination is helpful but not required
  • Experience working with drivers, fleet operations, or delivery-based businesses is a plus

Preferred Experience

  • Dispatching or coordinating deliveries in transportation, fuel, construction, or service industries
  • Experience using routing or dispatch software
  • Experience working in a small team environment where roles may overlap and flexibility is important

Work Environment

This position is primarily based in our Lyme, New Hampshire office and works closely with drivers and other operations staff. The role requires regular communication with field employees and occasional coordination with customers. During the winter heating season, office staff share limited on-call responsibilities to help support delivery operations.

Pay: $50,000.00 - $65,000.00 per year
