Key Responsibilities of a Dispatch Executive:
- Scheduling and Coordination
- Plan and schedule deliveries or transportation activities.
- Assign drivers/vehicles based on availability, route, and priority.
- Coordinate with warehouse, logistics, and transport teams.
- Order Processing
- Review and process dispatch orders from sales or operations teams.
- Ensure all orders are accurately entered into the system.
- Route Optimization
- Plan efficient delivery routes to save time and reduce costs.
- Use GPS or dispatch software to monitor and adjust routes in real time.
- Communication
- Maintain constant communication with drivers and field staff.
- Address and resolve any issues during transit (delays, breakdowns, etc.).
- Documentation and Reporting
- Prepare and maintain dispatch logs, delivery reports, and transportation records.
- Ensure all documentation complies with company and regulatory standards.
- Tracking and Monitoring
- Track movement of vehicles/goods using GPS or tracking tools.
- Ensure on-time delivery and resolve any discrepancies.
- Customer Service
- Respond to customer inquiries regarding delivery status.
- Handle delivery complaints or feedback professionally.
- Compliance and Safety
- Ensure all dispatch activities adhere to company policies and safety regulations.
- Monitor driver behavior and compliance with transport rules.
- Team Coordination
- Work closely with other departments such as sales, inventory, warehouse, and customer support.
- Support driver onboarding and training if needed.
- Emergency Response
- Act quickly to manage emergencies like vehicle breakdowns, route closures, or weather disruptions.
