Resilient Retrofits is a fast-growing home performance contractor specializing in heat pumps, insulation, electrification, and whole-home energy upgrades across the Portland metro area.

We are looking for a highly organized Dispatch & Scheduling Coordinator to help manage installation scheduling, coordinate field crews, and ensure projects run smoothly from sale to completion.

This role is ideal for someone who enjoys fast-paced environments, problem solving, and coordinating teams to deliver high-quality work.

You will work closely with leadership, sales, and field technicians to keep projects moving efficiently and homeowners informed throughout the process.

Responsibilities

• Schedule installation projects for HVAC, insulation, and electrification work
• Coordinate daily schedules for technicians and installation crews
• Communicate with homeowners to confirm appointments and installation dates
• Adjust schedules as projects change or field conditions evolve
• Ensure jobs are ready for crews before arrival (materials, scope, notes, etc.)
• Work with sales and assessors to transition projects into production
• Support field teams by coordinating logistics and troubleshooting scheduling conflicts
• Maintain accurate job schedules and internal communication

Qualifications

• Highly organized with strong attention to detail
• Excellent communication skills with customers and technicians
• Ability to manage multiple projects and priorities
• Comfortable making quick decisions in a fast-paced environment
• Experience scheduling for HVAC, construction, trades, or home services preferred
• Experience with ServiceTitan or similar scheduling software is a plus

Compensation & Benefits

• $30 – $40 per hour depending on experience
