Position Summary

The Dispatcher serves as a critical communication and logistics liaison between customers, shop operations, inventory, and purchasing. This role is responsible for coordinating rental tool requests, scheduling shop activity, managing real-time inventory availability, and supporting 24/7 oilfield operations in a fast-paced Permian Basin environment. The Dispatcher ensures accurate order processing, timely deployment of tools, and superior customer service while maintaining strict safety and quality standards.

Key ResponsibilitiesCustomer & Order Management

• Respond promptly to customer rental inquiries for downhole tools and oilfield equipment
• Review, validate, and process customer purchase orders (POs) and tool requirements
• Communicate tool availability, lead times, and delivery status to customers
• Maintain continuous customer communication throughout the rental lifecycle

Operations & Scheduling

• Coordinate job schedules with Shop Manager and Shop Supervisors
• Prioritize tool preparation, redress, inspection, and delivery timelines
• Support 24/7 operations and on-call scheduling as required
• Monitor job changes, urgent requests, and emergency dispatch needs

Inventory & Materials Coordination

• Check real-time inventory levels using internal ERP/inventory systems
• Initiate material requests and communicate tool requirements to Purchasing
• Assist with inventory tracking, shortages, and asset utilization reporting
• Support periodic cycle counts and inventory control audits

Safety, Compliance & Equipment Use

• Safely operate overhead crane and forklift to access rental tools (training provided)
• Follow all QHSE, DOT, and oilfield safety requirements
• Participate in safety meetings, audits, and ongoing compliance initiatives

Administrative & Reporting Support

• Maintain accurate dispatch logs, job records, and customer documentation
• Support invoicing accuracy through proper job documentation
• Perform additional duties as assigned per operational needs

Required Qualifications

• High School Diploma or GED required
• Minimum 1–2 years of dispatcher, logistics, oilfield, or rental operations experience preferred
• Strong customer service and communication skills
• Proficiency with computer systems, spreadsheets, and ERP/inventory platforms
• Strong attention to detail, organization, and time-management abilities
• Ability to multi-task in a fast-paced, high-volume operation
• Ability to work on-call and adapt to changing operational priorities

Physical & Work Environment Requirements

• Ability to lift up to 50 lbs occasionally
• Exposure to shop and yard environment
• Ability to safely operate forklifts and overhead cranes
• Ability to stand, walk, and work in industrial conditions

Preferred Qualifications (Competitive Market Enhancements)

• Oil & Gas downhole rental experience (Permian Basin preferred)
• Knowledge of drilling tools, tubulars, or directional equipment
• Prior experience with NOV, Weatherford, KLX, Expro, Halliburton, or similar competitors
• Bilingual (English/Spanish) a plus
