Dispatcher / Office Administrator

Role Summary We are seeking a reliable, high-energy Dispatcher / Office Administrator to serve as the backbone of our daily operations. This dual-role position requires someone who can handle the "controlled chaos" of emergency dispatching while maintaining a meticulous filing and billing system. You will be the primary link between our drivers, law enforcement, and customers in distress.

Key Responsibilities

Dispatch & Coordination

  • Emergency Response: Answer high-volume calls from motor clubs, law enforcement, and private customers with professionalism and empathy.
  • Driver Management: Coordinate and prioritize tow requests; relay accurate location and vehicle data to drivers via radio or dispatch software.
  • Logistics: Monitor driver locations to ensure timely arrivals and optimize routes for maximum efficiency.
  • Problem Solving: Adjust schedules on the fly to handle priority accidents or equipment breakdowns.

Office Administration & Compliance

  • Records Management: Maintain organized digital and physical files for all tow tickets, impound records, and vehicle release forms.
  • Billing & Invoicing: Process payments, manage motor club billing portals, and follow up on outstanding invoices.
  • Compliance: Ensure all documentation meets local and state regulatory requirements for impounded vehicles.
  • Customer Service: Assist walk-in customers with vehicle releases, ensuring all proper identification and fees are collected.

Required Skills & Qualifications

  • Multi-Tasking Mastery: Ability to talk on the phone, type notes, and monitor a GPS map simultaneously.
  • Geographic Knowledge: Familiarity with local roads, highways, and landmarks to assist drivers with navigation.
  • Technical Proficiency: Comfortable with dispatch software (e.g., Beacon, Towbook), Microsoft Excel, and basic accounting software.
  • Communication: Strong verbal communication skills; ability to remain calm and assertive under pressure.
  • Availability: Must be willing to work a flexible schedule, which may include nights, weekends, or holidays depending on shift needs.
