    Job Summary
    Under the supervision of the Assistant Superintendent or designee, the District Administrative Assistant provides high-level clerical, organizational, and operational support to the district . This position ensures efficient office operations, coordinates communications, maintains records, and assists with district initiatives, meetings, and projects. The role requires strong organizational skills, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced educational environment.
    Essential Duties and Responsibilities
    • Provide administrative and clerical support to district HR department.
    • Manage calendars, schedule appointments, and coordinate meetings, workshops, and district events.
    • Prepare correspondence, reports, presentations, and other documents.
    • Maintain accurate records, files, and databases in accordance with district policies and state regulations.
    • Serve as a point of contact for staff, parents, vendors, and community members.
    • Answer and route phone calls, emails, and other communications appropriately.
    • Assist with preparation and distribution of district communications and materials.
    • Coordinate travel arrangements, registrations, and logistics for district staff.
    • Maintain confidentiality when handling sensitive personnel, student, or district information.
    • Assist with district projects, programs, and compliance documentation.
    • Support board meetings or administrative meetings by assisting to prepare materials.
    • Perform other duties as assigned by district administration.
    Qualifications
    • High school diploma or equivalent required; associate's or bachelor's degree preferred.
    • Previous administrative or office support experience, preferably in an educational setting.
    • Proficiency in Microsoft Office or Google Workspace applications.
    • Strong organizational, time management, and multitasking skills.
    • Excellent written and verbal communication skills.
    • Ability to maintain confidentiality and exercise professional judgment.
    • Ability to work independently and collaboratively with district staff.
    Knowledge, Skills, and Abilities
    • Knowledge of office procedures and record-keeping systems.
    • Ability to prioritize tasks and manage competing deadlines.
    • Strong customer service and interpersonal skills.
    • Attention to detail and accuracy.
    • Ability to learn district systems and processes quickly.
    Work Environment
    • Office setting within a district administrative building.
    • Regular interaction with district staff, school personnel, and the public.
    • May require occasional attendance at evening meetings or district events.
    Physical Requirements
    • Ability to sit for extended periods.
    • Ability to use standard office equipment including computers, phones, and copiers.
    • Occasional lifting of office materials up to 20–25 pounds.
