We are seeking an experienced Document Controller to join our growing refrigeration company. The ideal candidate will be a highly organized, meticulous professional with a proven ability to manage all project-related documentation efficiently and accurately. You will play a crucial role in ensuring that all project documentation is prepared, submitted, and archived according to company and client standards.
Responsibilities:
- Project Documentation: Prepare and manage a wide range of project-related documents, including but not limited to:
- Method Statements and Risk Assessments tailored to meet the specific requirements of contractors and clients.
- Material Submittals and correspondence for consultants and clients.
- Operations & Maintenance (O&M) manuals and warranty certificates.
- Job Completion Reports.
- Tenders, Quotes, and Proposals for the Projects Department.
- Document Management: Maintain a systematic and organized filing and archiving system for all project documents. This includes:
- Archiving project-wise files containing quotations, selection sheets, and other essential records.
- Ensuring all documents are easily accessible and properly cataloged.
- Communication & Collaboration:
- Act as the primary point of contact for all project documentation-related queries.
- Coordinate with internal teams (e.g., Projects, Engineering) and external stakeholders (clients, consultants, contractors) to ensure timely document submissions and approvals.
- Quality Assurance: Ensure all documents are accurate, up-to-date, and compliant with project specifications and company standards.
Qualifications and Skills:
- A minimum of 2-3 years of experience as a Document Controller, preferably within the engineering, construction, or a related technical industry.
- Proven experience in preparing and managing technical documentation, such as method statements, risk assessments, and O&M manuals.
- Exceptional organizational skills and attention to detail.
- Proficiency in document control software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills.
- The ability to work independently, manage multiple priorities, and meet tight deadlines.
