Document Controller

Preferably with yard experience, at least 5 years of experience

1. Lead efforts to establish, maintenance, development and improvement of the Document Management processes, systems and tools. Numbering Procedure & Distribution Matrix incorporated with Client / project Requirements.

2. Ensuring Document Control function is being performed in accordance with corporate procedure and project requirements.

3. Introduce document awareness to the project team (presentation, training and workshops).

4. Control and monitor Client Approval Process and Document submission to the Client

5. Wherever Document Control input is required, attend weekly and monthly project meetings

6. Establish document workflows to company, project team, yard leadership team, Sub-Contractor and Supplier based on contractual agreed review schedules.

7. Interface with multiple disciplines to provide support and clear guidance to deliver documentations align to all Information Management Specifications.

8. EDMS (electronic document management system) implementation and training to the taskforce.

9. Design and implement detailed work instruction for day-to-day activities of Documentation team.

10. Become familiar with technical aspects of the Contract and Project Team Requirements pertaining to Document Management and project delivery requirement (standards, procedure, EDMS, formats, etc.)

11. Responsible as a single contact personal for document coordination, distribution and transmittal for the consortium partners in the project.

12. Communicate and promote the understanding of the scope, document control strategy. Ensure the project team is aware of document requirement and specification to meet project needs, Company standards and industry regulations. Development of effective project setup plan.

13. Accurately track, log and distribute releases of both internal and external documentation including related metadata. Provide input in preparing Document Management status reports.

14. Network with stakeholder to serve as a source of support in executing project deliverables; ensure proactive two-way communication.

15. Responsible for document coordination efforts and effective technical writing in the creation of documented procedure.

16. Participate and provide input to audits and peer reviews, undertake other project audit as required. Project documentation e.g. Final dossier preparation, weld traceability, filing, weekly statistics etc.

17. Follows the day-to-day operations related to own job to ensure continuity of work.

18. Assisting the Site Staff during Engineering / vendor documents mobilization, to ensure the satisfactory administration of Project Documentation & Records and monitoring the pending documents.

19. Ensuring speedy resolution of vendor queries & grievances to maximize satisfaction levels.

20. Support in defining, organizing and managing the Final Project documents handover to the Client

21. Ensure Document Management Methodology Procedures maintenance and compliance, prepare relevant project procedures

22. Support and assist in organizing and controlling Reports

23. Provide Help Desk support on the Document Management Tools in use

24. Organize Document Register and Master Data List activities

25 Support the Project Manager and the Risk Owners in minimizing risk impacts and maximizing opportunities identified within the Project

26. Upload Project Templates and Contractual Documentation into the system

27. Control or assist in workflows management and document distribution

28. Control or assist in linking document to activities, purchase request/order, to plant structure, etc.

29. Control documentation final correctness.

30. Support Precomm/ Comm Team preparing and managing the Master Punch List and related documentation

31. Coordinate and prepare the final fabrication dossiers - in coordination with the Discipline Leaders. Ensure that these dossiers, as well as the master punch list & system is properly transferred to the project's site team - final allocation
