We are seeking a highly organized and detail-oriented Document Controller with an engineering or fit-out background to manage project documentation and ensure all technical and administrative files are properly recorded, updated, and maintained. The candidate will coordinate with project teams, consultants, and subcontractors to ensure document accuracy, confidentiality, and timely retrieval.
Key Responsibilities
- Maintain and manage all project documents, including drawings, technical submittals, material approvals, and correspondences.
- Ensure proper document control procedures are followed in accordance with company and project standards.
- Register incoming and outgoing documents (drawings, RFIs, transmittals, etc.) in the document control system.
- Update, track, and distribute drawings and revisions to the relevant project team members.
- Support project engineers and site teams by ensuring easy access to the latest approved documents.
- File and archive all project records (hard copy and soft copy) systematically.
- Coordinate with consultants, clients, and subcontractors for document submissions and approvals.
- Ensure confidentiality and data security of all sensitive project documents.
- Assist in preparing monthly reports, logs, and project close-out documentation.
Requirements
- Diploma or degree in Engineering, Construction Management, or related field.
- Minimum 2–4 years of experience as a Document Controller in an engineering, construction, or fit-out company.
- Proficient in MS Office (Word, Excel, Outlook) and document control software (e.g., Aconex, EDMS, SharePoint).
- Strong understanding of technical documentation, project drawings, and version control.
- Excellent organizational and time management skills.
- Attention to detail and ability to work under deadlines.
- Good English communication (written and verbal).
Preferred Qualifications
- Experience with interior fit-out or MEP projects.
- Knowledge of ISO document control procedures.
- Ability to work independently and coordinate with multi-discipline teams.
