About the Job:
Need to manage, tracking, and secure storage of project documents to ensure accuracy, compliance, and accessibility. Key duties include organizing both digital and physical records, ensuring version control and compliance.
Key Responsibilities:
- Develop, implement, and maintain a department and project-specific document control system, which may involve using electronic document management systems.
- Administer the intake, scanning, and verification of both electronic and physical project documents, including technical drawings, contracts, and vendor documents.
- Control the entire document lifecycle, from initial creation and versioning to distribution, archiving, and eventual disposal.
- Maintain accurate version control by ensuring only the latest, approved documents are in circulation and are easily accessible to the project team and relevant stakeholders.
- Maintain organized and accessible document archives, including both soft and hard copies, for the project's duration and after completion.
- Act as the central point of contact for all document-related matters, facilitating a smooth flow of information between internal teams and external parties.
- Ensure the timely distribution of documents and drawings to the site team, Contractors, subcontractors, and suppliers.
- Train and assist project team members on proper document control procedures and the use of the document management system.
- Monitor and track the status of documents, submittals, and approvals to ensure timely delivery and adherence to project deadlines.
- Generate regular document control status reports for project managers and senior management.
- Conduct regular quality checks and audits on documents to verify accuracy and ensure they comply with internal and external standards, regulations, and quality requirements, such as ISO 9001.
- Control access to sensitive or confidential documents and adhere to data protection regulations.
Skills and qualifications
- Exceptional ability to organize, manage, and retrieve large volumes of documents efficiently.
- A meticulous and detail-oriented approach to ensure a high level of accuracy in all documentation.
- Advanced skills in MS Office Suite (particularly Excel and Word)
- Excellent written and verbal communication to effectively coordinate with diverse stakeholders.
- Familiarity with industry-specific documentation, such as construction blueprints or engineering specifications.
- Ability to identify and resolve document-related issues and troubleshoot system problems.
- Capacity to manage multiple tasks, prioritize effectively, and work well under pressure in a fast-paced environment.
Qualification:
Construction relevant Engineering Degree Or Bachelor/Master in Business Administration or Management
