We are seeking a highly organized and detail-oriented Document Controller to join our Human Resources team. In this role, you will be responsible for managing employee records and HR documentation while ensuring data accuracy, legal compliance, and confidentiality. You will play a key part in supporting the HR team with efficient document handling, version control, and filing systems.
Key Responsibilities:
- Maintain and update employee files and HR records (digital and physical).
- Ensure HR documentation complies with internal policies and labor laws.
- Track and manage documents related to recruitment, onboarding, appraisals, training, and exit processes.
- Support HR audits by organizing and providing accurate documentation.
- Archive inactive records in accordance with company policies.
- Monitor expiry dates for key documents (contracts, IDs, certifications) and follow up accordingly.
- Ensure data privacy and control access to sensitive HR information.
- Maintain document templates and ensure only current versions are in use.
Requirements:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum 3 years of experience in HR document control or administration.
- Strong knowledge of MS Office (Word, Excel, Outlook); experience with HRIS or DMS is a plus.
- Excellent attention to detail and organizational skills.
- Strong understanding of confidentiality, data privacy, and labor law compliance.
- Ability to work independently and handle confidential information with integrity.
Preferred Qualifications:
- Experience working in HR for a company with 10,000+ employees.
- Familiarity with ISO standards or HR compliance audits.
- Experience with document management systems like SharePoint, Aconex, or BambooHR.
