Job Summary:

The Document Controller is responsible for maintaining and managing all company or project-related documents to ensure that they are easily accessible, securely stored, and up-to-date. The role involves organizing and coordinating document control processes and ensuring compliance with company policies and regulatory standards.

Key Responsibilities:

  • Document Management:
  • Maintain a structured filing system for both physical and electronic documents.
  • Ensure proper labeling, categorization, and version control of documents.
  • Regularly update and archive obsolete or outdated documents.
  • Document Distribution:
  • Distribute documents to relevant departments, teams, or stakeholders in a timely manner.
  • Monitor and track document review and approval workflows.
  • Compliance and Quality Assurance:
  • Ensure all documents comply with organizational and regulatory standards.
  • Conduct periodic audits to ensure document accuracy and consistency.
  • Collaboration and Communication:
  • Work closely with project teams, managers, and external parties to ensure smooth document exchange.
  • Respond to document-related inquiries promptly and professionally.
  • System Administration:
  • Manage and maintain document management software or platforms.
  • Provide training and support to staff on document control procedures and systems.
  • Reporting and Metrics:
  • Generate regular reports on document control activities, such as status updates and compliance metrics.
  • Identify areas for improvement in the document control process.

Qualifications and Skills:

  • Education:
  • A diploma or bachelor’s degree in business administration, management, or a related field is preferred.
  • Experience:
  • Proven experience in document control, records management, or administrative roles.
  • Familiarity with document control software (e.g., SharePoint, Aconex, EDMS) is an advantage.
  • Skills:
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of document management standards and best practices.
  • Strong communication and interpersonal skills.
  • Fluent in both English and Chinese Mandarin

Working Conditions:

  • Typically office-based with standard working hours.
  • May require occasional travel or extended hours, depending on project needs

Job Types: Full-time, Contract
Contract length: 12 months

Pay: QAR5,000.00 - QAR5,500.00 per month
