Job Summary:
The Document Controller is responsible for maintaining and managing all company or project-related documents to ensure that they are easily accessible, securely stored, and up-to-date. The role involves organizing and coordinating document control processes and ensuring compliance with company policies and regulatory standards.

Key Responsibilities:
- Document Management:
- Maintain a structured filing system for both physical and electronic documents.
- Ensure proper labeling, categorization, and version control of documents.
- Regularly update and archive obsolete or outdated documents.
- Document Distribution:
- Distribute documents to relevant departments, teams, or stakeholders in a timely manner.
- Monitor and track document review and approval workflows.
- Compliance and Quality Assurance:
- Ensure all documents comply with organizational and regulatory standards.
- Conduct periodic audits to ensure document accuracy and consistency.
- Collaboration and Communication:
- Work closely with project teams, managers, and external parties to ensure smooth document exchange.
- Respond to document-related inquiries promptly and professionally.
- System Administration:
- Manage and maintain document management software or platforms.
- Provide training and support to staff on document control procedures and systems.
- Reporting and Metrics:
- Generate regular reports on document control activities, such as status updates and compliance metrics.
- Identify areas for improvement in the document control process.
Qualifications and Skills:
- Education:
- A diploma or bachelor’s degree in business administration, management, or a related field is preferred.
- Experience:
- Proven experience in document control, records management, or administrative roles.
- Familiarity with document control software (e.g., SharePoint, Aconex, EDMS) is an advantage.
- Skills:
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of document management standards and best practices.
- Strong communication and interpersonal skills.
- Fluent in both English and Chinese Mandarin
Working Conditions:
- Typically office-based with standard working hours.
- May require occasional travel or extended hours, depending on project needs
