Document Controller – HR & Admin Department

Location: Sharjah, UAE

Company Overview:

We are a well-established construction and contracting company based in Sharjah, UAE, specializing in residential and commercial projects across the Emirates. We are looking for a detail-oriented and organized Document Controller to join our HR & Admin Department. The ideal candidate will be responsible for managing and maintaining employee and administrative documentation, ensuring accuracy, confidentiality, and compliance with company policies and UAE labor regulations.

Key Responsibilities:

  • Manage and control all HR and administrative documents, including employee files, contracts, leave records, performance evaluations, and official correspondence.
  • Maintain an organized and secure filing system (both electronic and physical) for all HR and administrative records.
  • Ensure document accuracy, version control, and proper distribution to relevant departments when required.
  • Track and update employee document registers, ensuring all records are current and easily retrievable.
  • Support the HR team in preparing reports, summaries, and documentation for audits or internal reviews.
  • Ensure confidentiality and proper handling of sensitive employee and company information.
  • Coordinate with other departments to facilitate smooth communication and document flow.
  • Assist in the implementation and continuous improvement of document control procedures within the HR & Admin Department.

Requirements:

  • Bachelor’s Degree or Diploma in Business Administration, Human Resources, or a related field.
  • 2–5 years of experience as a Document Controller or Administrative Assistant, preferably within HR in the construction or contracting industry in the UAE.
  • Strong knowledge of document control procedures and HR filing systems.
  • Proficiency in MS Office (Word, Excel, Outlook); experience with HR or document management systems is an advantage.
  • Excellent organizational and communication skills.
  • High attention to detail and ability to maintain confidentiality.
  • Ability to work independently, handle pressure, and meet deadlines.
