Roles & Responsibilities:
-Involve in implementing of project Documents Management system that is being implemented through the project life cycle.
-Fully aware of all project matrix of correspondence and their role.
-Follow the procedure to easy incorporate the data and information updates from all departments on daily basis into the approved project central document library.
-Liaise with the project team for preparation of all technical submissions and ensure that all documents are submitted in accordance with the Documents Management Procedures using standard templates and in accordance with the Project Document system, appropriate approval and rejection are obtained and formally recorded and that changes and revisions are complying with documents control approved procedure.
-Sent and received correspondences in accordance with the Project document management system.
-Use the approved Documents Management Digital System to assist upload data into the standard registers to ensure that the information is accurate and up to date.
-Monitor and update any change and modification to the technical documents status and to report deviation to relevant divisions to support the project team by raising the critical issues that may affect the progress of the project, through the Digital System or creating / customizing using Microsoft Office Package.
-Maintain and archive all received and sent documents in accordance to DMS procedures.
-Assist in tracking and distributing the controlled copies of latest approved documents and drawings to the appropriate staff, subcontractors and suppliers as applicable based on approved matrix of distribution by Project Manager; and to ensure that the documents last revision supersedes the old revisions.
-Maintain hardcopies and softcopies of documents and drawings in the project central documents library under safe custody without any damage or deterioration with easy traceability.
-Make regularly backups of all the data and keep them in a secure place as per project approved procedure.
-Perform all tasks with quality and time efficiency.
-Ensure that employee is working according to the company HSE policies and regulations, and fully aware of his job risk assessment and environmental aspects.
Requirements:
-Diploma/ Secondary/ Elementary Certificate or Similar.
-0 - 3 years of related experience.
-Language Arabic and English
-MS Office, Documents Management Digital System, AutoCAD
