Document Controller

Job Title: Document Controller (Contracting)

Department: Projects / Document Control Reports

To: Project Manager / QAQC Manager / Operations Manager

Job Summary

The Document Controller is responsible for managing, organizing, tracking, and controlling all project documentation in a contracting environment, ensuring all drawings, submittals, correspondences, approvals, and records are properly filed, updated, and distributed to the relevant stakeholders in a timely and accurate manner.

Key Responsibilities1) Document Control & Filing

Maintain a structured filing system for all project documents (soft & hard copies).

Control and register incoming and outgoing documents (letters, emails, transmittals, RFIs, etc.).

Ensure all documents are properly numbered, dated, and issued with correct revision status.

2) Drawings & Revisions

Receive, log, distribute, and archive all drawings (IFC, shop drawings, as-built).

Track drawing revisions and ensure site teams are using the latest approved drawings.

Maintain updated drawing registers and revision logs.

3) Submittals & Approvals

Prepare and track all material submittals (MIR), method statements, and shop drawings.

Follow up with consultants/clients for approvals and return comments.

Maintain submittal logs and ensure compliance with project timelines.

4) Project Correspondence

Prepare transmittals for submission to consultant/client.

Issue and maintain registers for:

Letters

RFIs

NCRs

Site instructions

Minutes of meetings

Daily reports

5) Coordination & Distribution

Distribute approved documents to site engineers, supervisors, subcontractors, and procurement teams.

Coordinate with all departments (QA/QC, HSE, Procurement, Planning) for document updates.

6) Closeout Documentation

Assist in compiling project handover documents including:

As-built drawings

O&M manuals

Warranties

Test reports

Certificates

Ensure proper final archiving for DLP/warranty period records.

Required Skills & Qualifications

Minimum 4 years experience as Document Controller in a Contracting / Construction company.

Strong knowledge of construction document types:

Shop drawings, RFIs, MIRs, WIRs, NCRs, As-builts, O&M manuals

Proficient in:

MS Office (Excel, Word, Outlook)

PDF editing tools

Document management systems (Aconex, Procore, SharePoint, etc.) is a plus

Excellent organization and time management skills.

Strong communication skills (English required; Arabic is a plus).

Ability to work under pressure and manage multiple projects/documents.

Preferred (Bonus) Experience

Experience in UAE construction environment.

Knowledge of ISO-based filing and QA/QC documentation.

Familiarity with consultant/client submission workflow
