The project:

PMO implementation for a mixed use development in a suburb of greater Muscat. It will comprise of mainly residential, retail areas and large areas of public realm.

Provides document management and general administration support to the project team. Typically involves smaller projects where time is shared between the two disciplines.

You’ll be responsible for:

• Coordinate and deliver internal and external meetings, presentations, and associated logistics to ensure smooth operations.
• Provide commercial support through the preparation of bids and management of contract documentation.
• Manage office supplies and PPE procurement, ensuring compliance with health, safety, and statutory testing requirements.
• Administer and maintain electronic file-sharing systems such as SharePoint and Aconex, including user access permissions.
• Oversee document control processes, ensuring all incoming files are quality checked and aligned with project standards.
• Create and manage distribution groups to enable accurate and timely information flow across project stakeholders.
• Maintain project work package matrices, assign documentation appropriately, and generate system reports to support delivery teams.
• Contribute to Mace’s net zero carbon ambition by proactively identifying and managing carbon impacts throughout project delivery.

You’ll need to have:

• Proficient in MS365 and experienced with Aconex systems.
• Proactive approach, anticipating and resolving potential issues early.
• Strong understanding of construction processes and project information flows.
• Exceptional attention to detail, ensuring accuracy in document control.
