Document Controller

Dussmann Ajlan & Bros is pleased to announce a new career opportunity for the position of Document Controller , based at our Headquarters in Riyadh, Saudi Arabia .


Key Responsibilities

Document Management

  • Maintain and update all FM-related documents, including maintenance reports, work orders, asset records, O&M manuals, drawings, permits, and contracts.
  • Ensure all documents are properly filed, indexed, version-controlled, and accessible.
  • Create and implement document control procedures aligned with company standards and ISO requirements.

Data & Record Keeping

  • Track preventive and corrective maintenance schedules and ensure documentation is complete and accurate.
  • Maintain logs for service requests, vendor submissions, safety reports, and equipment data.
  • Update asset registers, checklists, and compliance documentation regularly.

Coordination & Communication

  • Support FM teams, engineers, and contractors by providing required documents promptly.
  • Coordinate document submissions for audits, inspections, and client reporting.
  • Communicate with suppliers/contractors to obtain required documents (method statements, risk assessments, certifications, etc.).

Reporting

  • Prepare weekly and monthly documentation reports for management and clients.
  • Track document status (pending, approved, rejected) and highlight delays.
  • Support preparation of FM performance reports and KPI documentation.


Job Requirements:

5+ years’ experience in document control in facilities or property management.

Proficient in Microsoft Office and SharePoint with aptitude to learn new software and systems.
