Document Controller

Key Responsibilities

Document Management & Control

  • Receive, log, classify, and register incoming and outgoing documents (drawings, submittals, RFIs, reports, contracts).
  • Maintain and update document numbering, version control, filing systems and registers.
  • Establish and maintain structured physical and electronic filing systems
  • Monitor document lifecycle to ensure timely submissions, updates, approvals, and distribution to relevant teams and stakeholders.
  • Prepare transmittals, logs, trackers, and document status reports.
  • Retrieve and provide document records for project teams, QA/QC reviews, audits, and close-out activities.

Coordination & Communication

  • Work closely with project managers, engineers, consultants, contractors, and clients to support document reviews and approvals.
  • Follow up on pending document reviews or approvals and escalate issues when necessary.

Compliance & Quality

  • Ensure document control procedures comply with company standards, client requirements, contractual obligations, and regulatory criteria.
  • Maintain confidentiality, secure backups, and proper archival of sensitive documents.

Qualifications & Skills

  • Diploma or Bachelor’s degree in administration, business, engineering, information management, or related field.
  • 2–5+ years’ experience in document control, preferably within civil construction or engineering projects in the UAE.
  • Experience with major document control systems like Aconex , SharePoint , Procore , Asite , or similar EDMS is highly valued.

Technical Skills

  • Strong proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to interpret basic technical documents and drawings.
  • Excellent organizational skills and attention to detail.
  • Good communication and interpersonal abilities (English fluency is essential; Arabic is a plus).
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
