1. Document Management
- Establish and maintain a systematic document control system (manual or electronic) for the project.
- Receive, log, track, and distribute all technical documents, drawings, submittals, RFIs, and correspondence.
- Ensure documents are properly categorized, numbered, and filed in accordance with company and client standards.
- Maintain the latest revisions of all documents and ensure obsolete versions are clearly marked and removed from circulation.
2. Communication & Coordination
- Coordinate with internal departments, consultants, subcontractors, and the client for document submissions and approvals.
- Ensure timely transmission of drawings, technical documents, and correspondence between relevant parties.
- Follow up on pending submissions and approvals to maintain project progress.
3. Quality & Compliance
- Ensure all controlled documents comply with company and project-specific document management procedures.
- Support the QA/QC department by ensuring quality records, inspection reports, and test certificates are properly filed.
- Conduct regular audits of document control systems and ensure compliance with ISO or company standards.
4. Reporting & Tracking
- Prepare periodic reports (document status, submission logs, transmittal registers, etc.) for management review.
- Maintain records of incoming and outgoing documents, ensuring full traceability.
- Monitor the document approval process to identify delays and escalate where necessary.
5. System Administration
- Manage document control software or Electronic Document Management Systems (EDMS) such as Aconex, Asite, or Primavera Unifier.
- Train team members in document control procedures and system usage.
- Support project close-out by compiling and submitting final documentation and handover records.
