The Document Controller manages and oversees all project documentation for interior fit-out works, ensuring accuracy, compliance, and timely distribution. This role leads document control processes across multiple projects, supports project and site teams, and ensures that all stakeholders work with the latest approved information.

Key Responsibilities

1. Document Management & Control

  • Develop and maintain the project document control system (both electronic and hard copy).
  • Receive, review, log, and distribute all incoming project documentation such as drawings, shop drawings, RFIs, submittals, material approvals, method statements, contracts, and correspondence.
  • Ensure all documents are correctly categorized, numbered, and filed according to company and project standards.
  • Maintain updated logs for drawings, submittals, RFIs, NCRs, inspection requests, and other project documents.

2. Drawing & Revision Control

  • Control the issuance of drawings and ensure that all revisions are clearly identified and distributed to relevant stakeholders.
  • Check that obsolete or superseded documents are removed from circulation and archived.
  • Coordinate with design, engineering, and site teams to ensure the latest drawings are used during execution.

3. Submittals & Approvals Coordination

  • Prepare and issue technical submittals, shop drawings, material samples, and other documents for consultant/client approval.
  • Track approval status and follow up on pending submissions to ensure timely feedback.
  • Update project logs and notify project teams of any changes or rejections.

4. Communication & Support

  • Serve as the central point of contact for all document-related queries.
  • Coordinate with project managers, designers, subcontractors, and site teams to ensure consistent documentation flow.
  • Support procurement by maintaining supplier documentation, compliance certificates, warranties, and material specifications.

5. Quality & Compliance

  • Ensure all documents comply with standards, project requirements, and internal QA/QC procedures.
  • Conduct periodic audits to verify accuracy, completeness, and consistency of documentation.
  • Support HSE department with HSE documentation, permits, and safety compliance records.

6. Reporting & Archiving

  • Prepare regular document status reports for management, highlighting pending actions and overdue submissions.
  • Archive project documents at project close-out, including as-built drawings, manuals, warranties, and handover files.
  • Maintain secure access control for sensitive documents.

Qualifications & Skills

Education & Experience

  • Diploma or Bachelor’s degree in Business Administration, Engineering, Architecture, or related field.
  • 2–5 years of experience as a Document Controller in the interior fit-out, construction, or engineering industry.

· Strong knowledge of fit-out documentation workflows and drawing control.

Technical Skills

  • Proficiency in document management systems (Aconex, Procore, EDMS, SharePoint, or similar).
  • Strong MS Office skills (Excel, Word, PowerPoint).
  • Basic understanding of construction/fit-out drawings and project documentation flows.
  • Familiarity with ISO standards and QA/QC procedures.

Soft Skills

· Excellent organizational and communication skills.

· High attention to detail and strong follow-up discipline.

· Ability to lead, train, and support document control staff.

Strong multitasking skills and ability to work under pressure.

Job Type: Full-time

Pay: AED3,500.00 - AED4,000.00 per month
