Document Controller / Project Admin- Aviation

WSP Middle East is seeking a Document Controller / Aviation Project Administrator to support design-led aviation projects in Dammam,KSA. This role is critical in ensuring effective document control, project administration, and coordination across multidisciplinary design teams working on complex airport and aviation infrastructure programmes.

Document Control & Information Management

  • Establish, manage, and maintain project document control systems in line with WSP and client procedures.
  • Register, distribute, track, and archive all project documents including drawings, specifications, reports, correspondence, and submissions.
  • Ensure version control, document accuracy, and timely circulation to relevant stakeholders.
  • Support document submissions to clients, authorities, and external parties, ensuring compliance with agreed workflows and timelines.

Project & Administrative Support

  • Provide day-to-day project administrative support to aviation design teams and project managers.
  • Coordinate internal and external communications related to project documentation.
  • Support design review cycles, transmittals, and approval processes.
  • Assist with meeting coordination, including agendas, minutes, and action logs where required.

Coordination & Compliance

  • Liaise with multidisciplinary teams (architecture, engineering, planning, and specialist consultants) to ensure smooth information flow.
  • Ensure document control activities align with project quality, audit, and governance requirements.
  • Maintain confidentiality and data security across all project records.
  • Support mobilisation, onboarding documentation, and general project admin activities as required.

  • Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field (preferred).
  • Proven experience as a Document Controller or Project Administrator, ideally on aviation / infrastructure / design-based projects.
  • Strong knowledge of document control processes, workflows, and best practices.
  • Experience using document management systems (EDMS) and Microsoft Office applications.
  • High attention to detail, strong organisational skills, and the ability to manage multiple priorities.
  • Clear communication skills and confidence working with multidisciplinary teams and senior stakeholders.
  • Experience in the Middle East and familiarity with consultant-led design environments is an advantage.
