OGO Contracting are seeking an experienced Document Controller/Secretary with a minimum of 3 to 5 years of UAE experience to join our dynamic team immediately!

The Document Controller/Secretary is responsible to manage, organize, and control all project documents, drawings, correspondence, records, and submissions in an efficient, secure, and systematic manner to support smooth project execution in the contracting company.

1. Key Responsibilities.

A. Document Management

  • Maintain and update all technical documents, drawings, specifications, submittals, RFIs, MOMs, contracts, and project records.
  • Ensure version control, proper formatting, naming, and filing of all documents.
  • Upload, track, and manage documents via internal systems or client platforms and government systems.
  • Manage documents in compliance with standards and company procedures.

B. Project Coordination

  • Coordinate with project engineers, consultants, subcontractors, and clients for document submissions and approvals.
  • Ensure all incoming and outgoing documents are properly logged and circulated.
  • Follow up on pending approvals, RFIs, material submittals, shop drawings, and correspondence.

C. Quality & Compliance

  • Maintain confidentiality and secure control of important project documents.
  • Ensure documents are archived according to QA/QC requirements and project close-out procedures.
  • Assist the QA/QC team with document compliance and audits.

D. Reporting

  • Generate weekly/monthly status reports for submittals, approvals, drawings, and correspondence.
  • Support the project team with updated logs, registers, and tracking sheets.

E. Administrative Support

  • Assist with meeting minutes, transmittals, and correspondences.
  • Manage hard copy filing and digital archiving systems.

3. Qualifications & SkillsEducation

  • Diploma or Bachelor’s Degree in Business Administration, Engineering, or related field.

Experience

  • 2–5 years experience as a Document Controller in a contracting or construction company.

Skills

  • Strong organizational and time-management abilities.
  • Proficient in MS Office (Excel, Word, Outlook, PDF tools).
  • Good communication and coordination skills.
  • Attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
