Ecommerce Finance Operations / Bookkeeper

About the Role

We are a growing D2C/B2B wellness product company seeking a detail-oriented and tech-savvy Finance & Bookkeeping Administrator to manage the full scope of our day-to-day financial operations. In addition to full-charge bookkeeping responsibilities, a core function of this role is to monitor daily processing of transactions through our data systems: Shopify, Recharge (subscription order app), Auth.net, Brightpearl (ERP), and QBO. Please do NOT apply if you do not have some experience in an ecommerce environment. This role is ideal for someone who thrives working in multiple systems, and takes pride in keeping financial data accurate, organized, and audit ready.

In addition to core finance responsibilities, this position includes light HR administrative duties and plays a key role in maintaining tax compliance across multiple states.

Key Responsibilities

Bookkeeping & Financial Management

  • Perform all duties of a full-charge bookkeeper, including maintaining the general ledger, reconciling accounts, and managing accounts payable and receivable
  • Ecommerce payments management: process credit card payments, refunds, and sales credits; reconcile payment processor activity against internal records
  • Review daily deposits, payment processor activity, and electronic transaction flows to ensure accuracy and flag discrepancies
  • Monitor and audit the flow of financial data across all systems to ensure consistency and integrity
  • Monitor business cash flow and proactively communicate any concerns
  • Enter invoices and insurance documentation into vendor portals as required

Reporting & Compliance

  • Prepare monthly and quarterly financial statements
  • Prepare financial reports in support of annual insurance audits
  • Manage sales tax compliance, including filing sales tax reports and establishing tax accounts in new states upon reaching economic nexus thresholds

Payroll & HR Administration

  • Process employee timesheets and payroll
  • Support employee onboarding by preparing required paperwork and adding new hires to the payroll system
  • Perform periodic HR administrative tasks such as updating PTO balances and maintaining employee records

Required Qualifications

  • Certified or experienced full-charge bookkeeper (3+ years)
  • Minimum 2 years of hands-on experience with both Shopify (or similar e-commerce platform) and QuickBooks Online, with demonstrated proficiency in reconciling credit card payments and integrating data between platforms. Please do not apply if you do not have this experience as it is a significant part of this job.
  • Proficient in Microsoft 365 Suite of applications
  • Sales tax experience — must have experience filing sales tax returns and setting up multi-state tax accounts
  • Strong technology aptitude — this role requires daily use of multiple software platforms and vendor portals; comfort with learning new tools quickly is essential
  • Exceptional attention to detail and a strong commitment to data accuracy
  • Ability to work independently, manage competing priorities, and meet deadlines

Preferred Qualifications

  • Experience with payroll processing and basic HR administrative functions
  • Experience with insurance audits (General Liability/Workers Comp)
  • Familiarity with economic nexus rules and multi-state sales tax compliance

This is a part-time position for now, but will almost certainly transition to full-time if the candidate is interested. FT employees are eligible for health insurance, 401K matching, and PTO.

Job can be done remotely, but required to live in California.

Pay: $35.00 - $40.00 per hour
