The E-commerce Dispatch Executive is responsible for ensuring timely and accurate dispatch of online orders placed on the website and other sales platforms. This role involves coordination with warehouse teams, courier partners, ERP/system teams, and customer support to ensure smooth order processing, dispatch, and tracking. The position requires attention to detail, system knowledge, and operational discipline.

1. Order Processing & Fulfilment
· Download and process orders from all platforms (website, marketplaces, ERP, POS, etc.).
· Coordinate with warehouse staff to pick, pack, and label items as per order requirements.
· Cross-check products against order details to avoid mismatches or missing items.
· Prioritize urgent orders or express deliveries and ensure same-day dispatch when applicable.
2. Dispatch Management
· Generate AWB (Air Waybill) numbers and shipping labels using courier portals or ERP integrations.
· Prepare daily shipment lists and handover schedules for courier pickups.
· Maintain dispatch logs with details such as tracking number, courier partner, weight, and packaging status.
· Ensure orders are dispatched within agreed SLA (Service Level Agreement).
3. Coordination with Teams
· Communicate with customer support for any special instructions, delivery changes, or order cancellations.
· Inform warehouse or stock teams if inventory is not available or if substitutions are needed.
· Liaise with the marketplace support team for order-related queries, returns, or dispatch disputes.
4. Returns & RTO (Return to Origin) Handling
· Track return shipments and ensure proper entry into the system.
· Coordinate physical return checks with warehouse team.
· Update ERP or marketplace portals with return status and grade the returns if they are damaged and do the needful adjustments with the finance team.
· Minimize RTOs by verifying order accuracy and delivery addresses before dispatch.
5. Inventory Sync & System Updates
· Ensure that dispatched orders are correctly updated in ERP and/or marketplace backend.
· Alert inventory team for stock mismatches or negative stock warnings.
· Report any item-level discrepancies between order and physical stock.
6. Courier & Logistics Coordination
· Monitor courier performance, delays, and missed pickups.
· Raise complaints or tickets with courier partners for delayed or lost parcels.
7. Documentation & Reporting
· Maintain proper records of dispatches for auditing and internal reporting.
· Generate and submit daily/weekly dispatch reports, RTO reports, and shipment delay logs.
