Job Summary
We are seeking a highly organized and detail-oriented Engineering Secretary cum Document Controller to join our contracting company in Dubai. The ideal candidate will support the engineering and project management teams by handling project documentation, correspondence, administrative coordination, and document control processes for ongoing construction projects.
The candidate should have experience in the construction or contracting industry and be familiar with engineering documentation standards, project filing systems, and coordination with consultants, subcontractors, and clients.
Key ResponsibilitiesDocument Control Duties
- Maintain and manage all project documents, drawings, submittals, RFIs, material approvals, method statements, and correspondence.
- Ensure proper document numbering, filing, tracking, and distribution in accordance with company procedures.
- Control incoming and outgoing technical documents and maintain updated logs and records.
- Coordinate with engineers, consultants, subcontractors, and clients regarding document submissions and approvals.
- Archive completed project documents and maintain confidentiality of records.
- Ensure all revisions of drawings and technical documents are properly updated and circulated.
Secretarial & Administrative Duties
- Provide administrative and secretarial support to the engineering and project teams.
- Prepare letters, reports, meeting minutes, presentations, and project-related correspondence.
- Schedule meetings, coordinate appointments, and maintain calendars for engineering staff.
- Handle telephone calls, emails, and internal communications professionally.
- Maintain office supplies and support day-to-day office administration.
- Assist in preparing tender and project documentation when required.
Requirements
- Bachelor’s degree or Diploma in Business Administration, Engineering Administration, or related field.
- Minimum 3–5 years of experience as a Document Controller or Engineering Secretary in a construction/contracting company in the UAE.
- Strong knowledge of document control procedures and construction documentation.
- Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint).
- Experience with document management systems such as Aconex, EDMS, or similar platforms is an advantage.
- Excellent written and verbal communication skills in English.
- Strong organizational and multitasking abilities.
- Ability to work under pressure and meet deadlines.
- Knowledge of UAE construction industry practices is preferred.
