The ESIC & PF Compliance Officer is responsible for ensuring that the organization complies with all statutory obligations related to the Employees' State Insurance Corporation (ESIC) and Provident Fund (PF) regulations. This role involves maintaining accurate records, timely submissions, and handling employee queries regarding these statutory benefits.
Key Responsibilities:
- ESIC Compliance:
- Ensure timely registration and enrollment of eligible employees under the ESIC scheme.
- Calculate and process ESIC contributions accurately as per statutory guidelines.
- File monthly and annual ESIC returns within the prescribed timelines.
- Coordinate with the ESIC department for inspections, audits, and queries.
- Manage employee claims related to ESIC benefits, such as medical claims and maternity benefits.
- Provident Fund (PF) Compliance:
- Manage the enrollment of new employees under the Provident Fund scheme.
- Ensure accurate and timely deduction of PF contributions from employee salaries.
- Prepare and submit monthly PF returns and challans to the PF authorities.
- Facilitate employee withdrawals, transfers, and loans from their PF accounts.
- Handle employee grievances related to PF accounts and resolve issues promptly.
- Record Keeping & Documentation:
- Maintain up-to-date records of all ESIC and PF contributions, returns, and correspondence.
- Ensure proper documentation of employee registrations, nominations, and claims.
- Keep accurate records of inspections and audits conducted by statutory authorities.
- Compliance Monitoring:
- Stay updated with changes in ESIC, PF, and other relevant labor laws and regulations.
- Conduct regular internal audits to ensure compliance with statutory requirements.
- Prepare and present compliance reports to the management on a regular basis.
- Employee Communication & Support:
- Educate employees on the benefits and procedures related to ESIC and PF.
- Address employee queries and provide guidance on ESIC and PF-related matters.
- Conduct workshops or training sessions to improve employee awareness of statutory benefits.
- Coordination with HR & Finance:
- Work closely with the HR and Finance teams to ensure accurate payroll processing concerning ESIC and PF deductions.
- Collaborate with external consultants and auditors as required for statutory compliance.
- Audit & Inspection Handling:
- Coordinate and manage audits and inspections conducted by ESIC and PF authorities.
- Ensure prompt resolution of any discrepancies or issues identified during audits.
